Opportunity
The Freight Planner plays a vital role in managing transportation logistics by ensuring the effective use of Preferred Carrier third-party providers for client shipments. This position is responsible for focusing on the seamless execution of freight operations, including precise processing of freight administration, all within company timelines and schedules to maintain efficiency and compliance.
KEY RESPONSIBILITIES:
- Plan and schedule freight shipments for both inbound and outbound client needs.
- Partner with Customer Service Representatives (CSR’s) to facilitate accurate and timely freight quotes, ensuring invoicing is properly aligned with contractual agreements and service expectations.
- Support the development and preparation of freight pricing proposals not covered under the regular Tariff’.
- Identify transportation carriers (LTL, FTL and courier), monitor rates, evaluate costs and capabilities and select a preferred carrier for each lane and service, based on best value.
- Strategically negotiate with selected carriers to achieve low-cost tariff solutions, improving profitability while maintaining high service standards across freight operations.
- Administer and help manage pre-qualification vetting with Carriers verifying credentials, insurance coverage, regulatory compliance, and operational capabilities.
- Maintain an organized electronic and physical filing system for third-party carriers, ensuring documentation (carrier insurance certificates, equipment/ capabilities list, WCB coverage, etc.) remains updated and accessible.
- Ensure that company tariffs are published regularly and that the Maves/ Korber WMS transportation system freight rate database is updated, including Fuel Service Charge (FSC).
- Assist with the RFQ process to establish annual Tariff’s.
- Engage with warehouse supervisors, CSRs, and management to identify freight-related issues, collaborating with carriers on solutions before escalation.
- Monitor the process for carrier OS&D and claims, interacting where necessary to provide resolutions.
- Maintain a Non-Conformance Register (NCR) and recommend escalation when carrier performance issues arise. Utilize carrier scorecards and statistical reporting to track performance trends on a monthly, quarterly, and annual basis.
- Verify that all freight payables comply with company timelines, addressing billing discrepancies and conducting random audits.
- Document and report customer complaints or significant freight-related concerns to management, ensuring quick response and corrective action.
- Proactively identify and recommend improvements in freight operations, streamlining workflows to enhance efficiency and profitability.
- Prepare clear, concise reports for internal and external stakeholders, summarizing freight performance, cost analyses, and operational updates.
- Other duties and responsibilities as may be assigned.
QUALIFICATIONS:
- 1 – 3+ years of experience in freight forwarding and/or transportation planning.
- Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or related field is an asset.
- Proven analytical capabilities to gather and interpret logistics data, manage quotes, assess costs and rates, and contribute to annual tariff development
- Intermediate experience in planning, inventory control, budgeting, and financial forecasting.
- Familiarity with Warehouse Management Systems (WMS); experience with systems such as, Maves or Korber is preferred.
- Understanding of Transportation Management Systems and tracking tools commonly used in the industry is preferred.
- Ability to remain composed and exercise sound judgment in high-pressure or time-sensitive situations.
- Strong interpersonal and communication skills, both verbal and written, with the ability to collaborate across teams and with external partners.
- Exceptional organizational and time-management abilities, with a proactive mindset and keen problem-solving skills.
- Proficiency in Microsoft Office tools, especially Excel, Outlook, and PowerPoint.
