About the role

Your Opportunity:

Reporting to the Unit Manager/Manager of Ambulatory Neurosciences, the Administrative Support IV is an integral member of the Neurosciences team and works in collaboration with the multidisciplinary team. Duties include daily communication with patients and physicians, processing referrals, scheduling appointments (booking, informing, confirming), processing physician orders, typing correspondences, processing forms, clinical data entry, filing, and other related duties. The incumbent will be required to use initiative and sound judgment while providing direct organizational, administrative, and scheduling support. Daily work activities are varied and diverse and will involve communication and collaboration with the team to organize/maintain complex schedules and achieve objectives while under pressure to handle multiple tasks, changing priorities and sometimes short deadlines.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Recent (in the last 2 years) Admin Support IV experience in Neurosurgery or Surgery clinic experience required. Completion of post-secondary educational course(s) in Medical Office Assistant (MOA). Intermediate computer skills, with ability to demonstrate proficiency in the use of personal computers: Windows 365, Microsoft Office (Word, Excel, Teams), Outlook Access (email and calendar) required. Experience with managing physician schedules within the Clinics, Surgical case booking, Diagnostic Imaging procedure bookings, and referral/ waitlist management. Proficient experience working with Connect Care and NetCare is required.  Proficient MOA Connect Care role and functions.  Excellent verbal and written communication skills are required. Must be able to communicate clearly with patients, families, physicians and staff.  Able to work well with others (i.e. team player) and problem-solve issues that may arise. Strong initiative, conflict resolution and time management skills are required. Proven ability with handling multiple demands, work under pressure and handle competing and frequently changing priorities within required deadlines. Able to request/accept verbal or written direction. Must be sufficiently flexible to accept reallocated workload as per operational requirements. Physical abilities: prolonged sitting, prolonged standing may be required, repetitive movements are involved in day-to-day work activities and ability to lift or move up to 10 lbs.

Preferred Qualifications:

Experience working in an ambulatory setting. Recent (in the last 2 years) administrative experience within a surgical setting.  Ambulatory Neurosciences administrative experience. Experience with Connect Care and Netcare.
