What you’ll be doing
Under the management of the Executive Trust Officer of Estate & Trust Services, the Trust Administrator will report to the Executive Trust Officer and assist with the administration of dedicated accounts. As the Trust Administrator, you will be responsible for assisting this specialized team in providing excellent client service while adhering to compliance policies, internal controls and procedures. In this role, you will demonstrate solid written, verbal, interpersonal, analytical, and application skills to service accounts needs, assist in the management of investment portfolios, and support client relationships. You will need to demonstrate strong technical and system knowledge to review and analyze data to ensure quality assurance of transactions and maintain customer satisfaction. In addition, you will assist in the management of day-to-day operation and overall efficiency of the book of accounts, while seeking opportunities to streamline existing processes and procedures. You will support best practices and help the team achieve their primary objectives, planning and carrying out administrative duties as required.

How you’ll succeed
- Operational support - Assist the specialized team with the administration of a portfolio including Opening New Accounts, preparation of data reports and statements, as required. On-going File Maintenance, including updating account information (i.e., CIF's, Addresses, Email Agreement, Telephone, SIN's). Fee Integrity, including reviewing fee set-ups and charges on accounts on a monthly and annual basis; Asset Inquiry/Consolidation/Maintenance, including accurate asset values setups; in-kind asset transfers (both to and from another institution); cash control by minimizing overdrafts in coordination with Officers and Investment Management; updating adjusted cost bases (ACBs) on accounts; and updating or arranging for update of values of Miscellaneous Assets.
- Client and partner engagement - Develop and maintain professional client and partner relationships. Interact regularly with partners and clients and their lawyers, accountants, and financial advisors to discuss account administration.
- Project collaboration - Preliminary research for inquiries received; investigations; and participating in intra and inter-departmental meetings as requested; participation on committees encouraged. Annual Projects including preparing QI Documents for signature of Officers; preparing Annual Reporting Packages for files; ensuring AML documentation in file and on TOPS.
- Leveraging technology - Able to navigate many varied systems and is technically savvy. Examples of systems used in this role: MS Office, TOPS, ECIF, Nexen.
- Provide solutions - Experienced with multi-tasking and working in fast-paced, often-changing environment. Experience working in a team where processes and procedures are changing and updating.
