About the role

Job Summary:
In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position.

Reporting to the Clerical Supervisor, Cancer Centre, the Clerk Receptionist performs a variety of clerical and reception functions including greeting and re-directing patients and visitors to the Centre, preparing patient appointment packages, performing data entry of patient demographic information and receiving and re-directing patient information and other relevant information to a variety of areas.

Duties/Accountabilities:

  1. Performs a variety of reception duties including receiving patients and visitors, answering inquiries and giving directions, assisting patients and other visitors including directing patients to other areas within the centre.

  2. Operates a variety of office equipment such as desktop computer, photocopier, fax machine, multi-line telephone, and thermal printers

  3. Enters patient information into electronic health record information such as name, address, date of birth and contact information and notifies requestor by phone or fax.

  4. Maintains and processes incoming requests from patients or other departments according to department procedure by collecting information pertinent to the patient appointment , attaching outside reports to the clinical record, ensuring reports/ are available electronically for providers and clinicians

  5. Schedules patient appointments for diagnostic procedures or treatments

  6. Prepares new patient and follow up form packages for presentation to patients arriving for their procedures.

  7. Receives and re-directs mail/courier and other deliveries to areas within the centre.

  8. Takes minutes or notes such as at departmental meetings and transcribes as required

  9. Participates in continuous quality improvement activities by performing duties such as providing input/feedback to supervisor on processes and opportunities for process improvement.

  10. Performs other related duties as assigned.

Qualifications:
Education, Training and Experience

  • Grade 12, plus one year of recent related experience or an equivalent combination of education, training and experience.

Skills and Abilities

  • Ability to keyboard at 45 w.p.m.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.
  • Ability to organize work.
  • Ability to operate related equipment.
