Position Overview
Reporting to the Director of Quality and Health records, the Manager, Health Records, Privacy and Decision Support shall play a lead role in the organization’s decision support services, the protection of patient privacy and the day-to-day operations of the department of Health Records.
The incumbent will be responsible for monitoring, maintaining and improving the current health records decision support model to ensure it meets the needs of the organizations’ various decision-making teams.
The Manager will ensure compliance with the Public Hospital’s Act and Personal Health Information Protection Act (PHIPA) within Health Records practices for release of information, access and correction and will be responsible for HGH’s patient privacy initiatives, through ongoing education, regular auditing practices, necessary breach investigations and reporting.
The Manager will oversee the day-to-day operations of the Health Records Department, including staffing, health records coding ensuring accurate and timely NACRS and DADS submissions to CIHI for all emergency department visits, inpatient cases and surgeries performed at HGH. The manager will be responsible for overseeing the release of information, access and correction practices as HGH ensuring compliance to regulatory requirements as set out by the Personal Health and Information Protection Act and lead improvement projects related to these functions. The incumbent will play a key role in initiatives to increase collaboration between Medical, Nursing and Health Records staff through regular communication and education to create awareness of the impact of clinical documentation.
The Manager is responsible for the oversight of MyChart Support Services offered at HGH and will participate in the Atlas Alliance MyChart Group to lead improvements in the functionality of the tool.
The Manager is responsible for communicating changes to HGH stakeholders, consulting with HGH Patient and Family Advisory Council as needed and ensuring MyChart support staff are equipped to meet the evolving needs.
The position requires strong organizational, interpersonal, critical thinking skills. The candidate will be expected to multi-task on a wide range of assignments, collaborate across all disciplines of the organization and handle matters in a confidential manner. The Manager will be entrusted with managing all cases of chart correction, privacy breaches and will keep patient and families involved and informed throughout the process in a way that is consistent with HGH’s patient and family-centered care strategy. These responsibilities shall be carried out in accordance with HGH’s mission, vision, values and leadership philosophy, policy and procedures, and applicable legislation and regulations.

What we are looking for
- Bachelor’s degree in a health related field or health/business administration,
- Health Information Management analyst (HIM) or equivalent is an asset
- Member of the Canadian Health Information Management Association (CHIMA) is an asset
- Minimum of 5 years of experience in the health care field
- Ability to collect and analyze data
- Demonstrated computer proficiency - Crystal Reports, Microsoft work environment
- Experience using an EMR (such as EPIC)
- Ability to multi-task and problem solve independently
- Ability to prioritize work to meet multiple deadlines
- High degree of initiative and analytical skills
- Attention to detail
- Exceptional Organizational skills
- Demonstrated critical thinking, ability to navigate ambiguity and sound judgement in the planning and management of complex projects
