Position Overview

We are seeking a highly organized and personable Executive Assistant & Office Coordinator to support our executive team and help manage day-to-day office operations. This is a junior to intermediate level role ideal for someone looking to grow their administrative career in a fast-paced, entrepreneurial setting.

Key Responsibilities

Executive Support (50%)

  • Manage calendars, schedule meetings, and coordinate travel for executives
  • Keep executive team organized
  • Assist with email correspondence and follow-ups
  • Prepare meeting materials and take minutes as needed
  • Handle confidential information with discretion

Office Management & Reception (30%)

  • Greet visitors and manage the reception area
  • Maintain office supplies, equipment (e.g., printers), and kitchen inventory
  • Coordinate catering and logistics for meetings and events
  • Ensure the office remains tidy and organized

Other (20%)

  • Provide administrative support to other departments
  • Assist with document filing, data entry, and basic reporting tasks
  • Help manage corporate and team schedules and event logistics
  • Other ad hoc requests and projects as they may arise

Qualifications

  • 1–5 years of administrative or office coordination experience preferred; alternatively, a highly experienced candidate would be considered for a part time position
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Ability to multitask and adapt in a fast-paced environment
  • Professional, friendly, and proactive attitude
