Job Title: Administrative and Accounting Coordinator

Location : Halifax, Nova Scotia (Remote, Hybrid, or In-Office)

Position Type: Part-Time OR full-time

Pay : $23-$27 per hour

We are seeking a reliable Administrative and Accounting Coordinator to provide day-to-day support to our team and leadership. The successful candidate will report directly to the Principals and Co-Founders and play a key role in managing office administration, bookkeeping, and logistics.

Key Responsibilities

  • Bookkeeping using QuickBooks, including monthly reconciliation and expense tracking
  • Preparing and managing invoices and payment schedules, including client follow-up
  • Coordinating travel and accommodations for team members
  • Managing calendars, scheduling meetings, and providing logistical support to leadership
  • Overseeing office inventory and supply ordering (for remote or in-office needs)
  • Formatting and organizing documents using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneDrive)
  • Supporting internal operations, onboarding coordination, and file management
  • Assisting with other administrative tasks as needed in a small-business environment

Qualifications and Skills

  • At least 3 years of experience in an administrative, book-keeping, operations, or office coordination role(s).
  • Proficiency in Microsoft Office Suite is essential
  • Experience with QuickBooks for bookkeeping and invoicing or willingness to learn
  • Strong organizational and time management skills, with excellent attention to detail
  • Clear written and verbal communication abilities
  • Ability to work independently with minimal supervision
  • Comfortable with remote work tools (e.g., Zoom, Teams)
  • Experience supporting a consulting business or start-up is an asset
