Votre rôle
Dans le cadre de votre rôle, vous travaillerez auprès d’une équipe d’environ trois avocat·e·s pratiquant en litige, ce qui suppose un volume important de dossiers. Entre autres choses, vous préparerez des documents de nature juridique, incluant lettres et procédures, vous effectuerez une variété de tâches en lien avec la pratique, organiserez et tiendrez à jours les dossiers des client·e·s, en plus de tenir la gestion de l’agenda et des contacts avec la clientèle.
Ce poste nécessite une présence sur place au bureau à raison de 2 à 3 jours par semaine, selon l’évolution des besoins d’affaires.
Ce poste en est un de soutien, soit admissible au temps supplémentaire.
Vos responsabilités
Précision : Une grande partie de ce rôle serait impossible à accomplir sans des compétences en anglais, puisque la personne titulaire du poste devra interagir et collaborer avec certains client·e·s dont la langue d’affaires est l’anglais, ainsi qu’avec nos services de soutien juridique et administratif dans nos autres bureaux au Canada et aux États-Unis.
- Préparer les procédures usuelles en litige.
- Assurer une gestion rigoureuse des délais; agender, assurer le suivi des délais avec les avocat·e·s.
- Préparer des ébauches de documents; réviser les documents et la correspondance pour vérifier s'ils sont conformes aux lignes directrices des clients et des tribunaux et à l'usage grammatical; en assurer la mise en page.
- Effectuer l’ouverture, le classement, le suivi et l’organisation des dossiers.
- Gérer l’ensemble des communications, soit appels téléphoniques, courriels et autre correspondance.
- Organiser et coordonner les rencontres entre les avocat·e·s, les clients et autres intervenant·e·s dans un dossier selon les besoins.
- Préparer les dossiers en vue des rencontres et des auditions (correspondance et autres documents pertinents).
- Accomplir d’autres tâches pertinentes selon l’émergence de nouveaux besoins d’affaires.
Vos compétences et votre expérience
- Diplôme d’études en secrétariat (DEP) ou d’études collégiales (DEC) en administration, études juridiques ou une combinaison équivalente de formation académique et d’expérience.
- Expérience pertinente de 2 à 5 ans en tant qu’adjoint·e juridique en litige , avec une c onnaissance de la terminologie juridique et des règles de procédures.
- Un bilinguisme est requis (français, anglais), de manière à pouvoir rédiger et communiquer dans les deux langues correctement et efficacement, selon les dossiers dans lesquels travaillent les avocat·e·s .
- Expérience de soutien d’une équipe de 3 avocat·e·s ou plus avec une capacité de gérer un volume élevé de dossiers simultanément.
- Excellentes aptitudes d'utilisation de la suite Microsoft Office, en particulier Word, Excel, Power Point et Outlook, à un niveau intermédiaire ou idéalement, avancé.
- Rigueur, souci du détail et sens de l'organisation marqué.
- Familiarisation avec le droit des assurances, un atout.
- Très bonnes aptitudes à travailler dans un environnement informatisé, avec des logiciels variés et très bonne capacité d'apprentissage de nouveaux outils informatiques.
- Aptitude à travailler à distance de manière bien organisée et productive.
- Orientation clientèle, excellent esprit d'équipe et de collaboration au quotidien; tact et discrétion.

The Team
This position is part of the litigation legal support group in Montreal, which ultimately reports to the Legal Support Manager for Canada.
The Role
In this role, you will be working for a team of around three lawyers practicing in litigation, which implies a large volume of files. Amongst other things, the legal assistant will prepare legal documents including letters and proceedings, carry out a variety of tasks related to the lawyers’ practice areas, as well as organize and update client and lawyer files, in addition to managing lawyers’ calendars and their client contact lists.
This position requires the incumbent to work on site at the Montreal office 2 to 3 days, contingent upon evolving business needs.
This position is a support role which is overtime eligible.
Key Responsibilities

Preparing standard litigation proceedings.

Managing litigation deadlines, entering delays and updating the calendar.

Reviewing documents and correspondence to ensure compliance with legal procedures and correct grammatical usage.

Opening files, filing (both paper and electronic), tracking and organizing case files.

Managing overall communications, including phone calls, email and other correspondence.

Organizing and coordinating meetings between lawyers, clients and other stakeholders as needed.

Preparing files for meetings or hearings (correspondence, supporting documents, etc.).

Carrying out other relevant tasks as required by new or emerging business needs.
Essential Skills & Experience

A Diploma of Secretarial Studies (DEP) or a Diploma of College Studies (DEC) in administration, legal studies or a combination of equivalent education and experience.

Minimum of 2 to 5 years of relevant experience as a legal assistant in litigation, along with a knowledge of legal terminology and procedural rules.

Bilingualism required, French and English, in order to write and communicate correctly and efficiently in both languages, according to the nature of the files that the lawyers are working in.

Experience in supporting a team of 3 lawyers or more and ability to manage a high volume of files simultaneously.

Excellent knowledge of Microsoft Office, especially Word, Excel, Power Point and Outlook at an intermediate or, ideally, advanced level.

Rigor, attention to detail and strong organizational skills.

Some knowledge of insurance law would be an asset.

Very skilled at working in a computerized environment (with varied software) and a good aptitude for learning new software tools.

Ability to work remotely in a well-organized and productive fashion.
