We’re looking for a proactive, organized, and detail-oriented Paralegal to join our team and play a key role in keeping our company compliant with Canadian and American regulations in the infrastructure and heavy civil construction space. As part of the team, you’ll help manage licensing processes, support prequalification efforts, and ensure that everything runs smoothly on the corporate side. You’ll also have the opportunity to help build and enhance tools that streamline legal services across the company. The ideal person for this role is someone who thrives in a collaborative environment, communicates well with both leadership and external agencies, and enjoys taking ownership of important tasks.
This position is based at our downtown Vancouver office (near Burrard and Hastings) and reports directly to the Senior Vice President Legal for Infrastructure, North America.
Job Description
- Licensing & Compliance: You’ll manage jurisdiction-specific licensing requirements, ensuring we meet all the necessary qualifications to bid and perform work. You’ll also work closely with qualifying agents and understand past practices to help streamline these processes moving forward.
- Regulatory Research: With guidance from our legal counsel, you’ll dive into research on federal, state, and local licensing regulations, prequalification standards, and other requirements related to transportation agencies and departments.
- Team Coordination: You’ll be working closely with our internal teams, including legal, business development, and operations, to help ensure everything runs smoothly. You’ll also collaborate with external consultants to facilitate licensing and compliance processes.
- Prequalification & Bidding Support: You’ll take the lead on preparing and submitting prequalification documents, making sure everything is in line with client and regulatory expectations.
- Record-Keeping & Documentation: You’ll keep our records up to date, ensuring that corporate filings are renewed on time and all communications with regulators are properly documented. You’ll also manage external law firm paralegals to produce corporate documentation, including registrations, resolutions, annual reports, and corporate minute books.
- Compliance Reporting: You’ll help produce new compliance reports for both Canadian and American jurisdictions (ex. transparency disclosures), ensuring we stay on top of reporting requirements.
- System Improvements: You’ll be part of an effort to continuously improve how we manage legal information in our systems.
- Administrative Support: From coordinating agreement approvals to tracking documents and general file management, you’ll provide essential administrative support for legal matters and help manage workflows within the legal team.
- Team Support: You’ll help prioritize tasks and communications for our Senior VP, Legal, and assist with the smooth management of his interactions with colleagues in North America and Madrid.
Required Skills And Competencies
- At least 5 years of experience as a paralegal or in a similar role managing regulatory compliance, licensing (ex. intellectual property licensing), or legal support—experience in a corporate or commercial setting, particularly in the construction or engineering industry, is a big plus.
- While certification as a paralegal is great, it’s not required as long as you have solid experience and the ability to take initiative.
- You’re someone who can work autonomously, paying close attention to detail while knowing when to collaborate with others with emotional intelligence to ensure the best outcomes.
- You have excellent organizational skills and the ability to juggle multiple deadlines and priorities.
- You’re proactive, able to move issues forward and work directly with business managers to get the necessary deliverables.
- Spanish fluency is a bonus, but it’s not required.
- Proficiency in Microsoft Office Suite and document management systems is a must.
We’re excited to bring on someone who’s eager to make an impact and contribute to our mission of delivering successful infrastructure projects. If you’re a detail-driven, team-oriented individual, we look forward to hearing from you!
