In working to achieve this vision, the Office of the Registrar and Enrolment Management (OREM) places students at the centre of operations and supports students to achieve their academic and life goals. Individual connections with OREM team members and services, as well as interactions with on-line services, contribute to students’ growth in knowledge, independence and confidence. Registrarial services strive to directly support students’ success in their university studies, campus life and subsequent life pursuits. The range of services provided by the units within the OREM appear at every point in the student life cycle, beginning with recruitment and admissions, all the way through to convocation. Members of the OREM team strive to be consistent in their interpretation, communication and application of regulations, policies and procedures while being both professional and respectful of the diversity and complexity of needs across the university campus. The OREM interacts with staff, students, faculty, university and external community members in order to assist in the delivery of core services that cross operational and departmental boundaries (e.g., registration, class and exam scheduling). It is important that students and our university colleagues are well-informed and well-supported by the OREM and the services offered.

The salary range for this position is:

  • Recruitment range: $69,052- $76,129 starting salary determined by the PEA Collective Agreement.
  • Performance range: $89,791 salary range ceiling is available through annual performance increases.

Job Summary

Mandate:
The Officer, Student Support Services plays a key leadership role in delivering high-quality, student-centered services within the Office of the Registrar and Enrolment Management (OREM). The position ensures the smooth and effective functioning of frontline services that support students throughout the academic lifecycle. Through team supervision, training, policy input, and service planning, the Officer ensures operational excellence and consistent support for students, faculty, and staff. By fostering a collaborative and inclusive service environment, the Officer contributes directly to UVic’s commitment to student success and institutional service standards.

Objectives:

  • Lead a high-performing frontline team that delivers consistent, accurate, and respectful student service across multiple channels.
  • Ensure efficient scheduling, training, and performance oversight to meet operational demands and uphold service standards.
  • Act as a subject-matter expert and escalation point for complex student service inquiries, ensuring timely and informed resolution.
  • Support the development and implementation of internal procedures and contribute to unit planning and policy improvements.
  • Foster team cohesion, inclusivity, and cross-unit collaboration to support OREM’s service goals and institutional priorities.

Evening and weekend work may sometimes be required.

Job Requirements

This position requires a level of education, training, and experience equivalent to a Bachelor’s degree plus minimum 3 years of relevant experience in a post-secondary setting that includes staff supervision. An equivalent combination of education, training, and experience may be considered.

Knowledge, skills, and abilities include:

  • Demonstrated commitment to valuing the principles of truth, reconciliation and respect, equity diversity and inclusion, and contributing to an inclusive and respectful working and learning environment
  • Demonstrated knowledge of student information systems (Banner or equivalent) and administrative software programs including Microsoft Office Suite and Adobe
  • Successful track record in leading and motivating a team of professionals with a leadership style that is collaborative, supportive, inspiring, and includes providing training, ongoing feedback, and motivating teams
  • Ability to plan and initiate regular, prompt, and clear communication and consultation with a busy team of frontline staff
  • Ability to consistently deliver a high level of customer service and communicate professionally and congenially in challenging or stressful situations
  • Ability to exercise initiative, judgement, and empathy to make informed decisions when dealing with students, which may involve emotional or stressful situations
  • Ability to respect confidentiality and maintain discretion with highly sensitive and confidential information
  • Ability to prioritize and manage multiple time-sensitive tasks, projects, and unexpected situations successfully and to delegate as needed in a demanding and deadline-driven environment
  • Ability to input data with a high degree of accuracy while managing frequent interruptions
  • Ability to foresee problems and outcomes, and plan to minimize unintended negative consequences
  • Ability to conduct research, write reports, and make recommendations
  • Ability to build and maintain positive working relationships
  • Ability to collaborate successfully with individuals from diverse backgrounds and at all levels of the university
  • Ability to move cartons of paper up to 20kg in weight
  • Previous work experience in a university registrar’s office is an asset
