About the role
Summary
The Dispatcher will be responsible for handling all tasks related to delivery and pickup dispatch, as well as all tasks assigned to the front counter. This includes organizing each day’s deliveries and pickups, assigning deliveries to drivers, administering the deliveries in the dispatch system, coordinating deliveries and communicating relevant details to relevant parties, phoning customers, ensuring drivers have the necessary information to complete their work, print and review the reservation and delivery reports, monitor drivers via GPS and current delivery tickets, process all paperwork, and any other relevant dispatch tasks. Front counter tasks include fielding walk-in customers, fielding customer phone calls, dealing with both on-account and cash customers, typing up orders, cycle billing, and handling all other front counter duties. This role will provide an exceptional customer experience while processing transactions in an accurate, timely fashion. The Dispatcher will be required to develop a working knowledge of A-1 Rent-Alls’ inventory to be able to advise customers and accurately distribute rental items. The Dispatcher will be required to become proficient in A-1 Rent-Alls’ inventory software, Microsoft Office, Microsoft Teams, and other computer programs.
Job Duties
- Complete all dispatch transactions, including assigning deliveries and pickups to drivers, administering tickets in dispatch system, monitoring drivers via GPS and dispatch software, and adjust driver schedules as necessary.
- Complete dispatch preparation work, including reviewing reservation reports, determining which equipment needs to be green-tagged or inspected and communicating appropriately, printing delivery reports, and all other related tasks.
- Complete all front counter transactions, including quotes, reservations, contracts, equipment pickups and returns, cycle billing, work orders, reservation reports, and other associated tasks.
- Provide exceptional customer service over the phone, in person, and via email.
- Ensure that relevant data and details are accurately captured and logged, including fuel levels and hours readings on returned equipment, contacts on site for outbound deliveries, inventory numbers on outbound and returning equipment, information for work orders, and any other information relevant to a particular transaction.
- Coordinate with other departments (yard, service, sales) to ensure that orders are prepared, appropriate details are logged, customers are billed accurately, and all other matters are addressed.
- Run reservation report to prepare for following days and upcoming weeks, ensuring that outbound equipment is accounted for and prepared.
- Work under the direction of the Customer Service Manager (CSM) to ensure that work is properly prioritized and completed to an acceptable standard.
- Maintain positive relationships with coworkers and customers.
- Learn and adhere to A-1 Rent-Alls’ processes and procedures.
Requirements
- 1 year working in a customer service or administrative environment.
- Experience in customer service, with rental or equipment experience being an asset.
- Strong customer service skills with an ability to build and maintain lasting relationships with customers.
- Ability to multitask in a fast-paced environment.
- Excellent teamwork cooperation.
- Strong problem identification and problem resolution skills.
- Ability to effectively communicate both verbally and in writing.
- High level of proficiency with Microsoft Office.
Working Conditions
- Manual dexterity required to use desktop computer and peripherals.
- Able communicate in person, over the phone, and via email and other electronic means.
- Overtime as required.
- 40 hour work week, with variation from week to week based on business needs. Saturdays will be required.
- Steel-toe shoes or boots required.
Job Type: Full-time
Pay: $22.00-$26.00 per hour
Expected hours: 40 per week
