About the role

The Fundraising Database Manager has primary responsibility for overseeing the integrity, functionality, and strategic use of the CRM donor database (Raiser’s Edge) and any other software that contains donor information. The FDM ensures the CRM is utilized to support fundraising and communication strategies across disciplines: Annual Giving, Major Gifts, and Special Events.

The role is responsible for managing the donor pipeline, ensuring accurate data entry and reporting, and enabling the development team to cultivate, solicit, and steward donors effectively.

This position works closely with the Finance department to carry out regular reconciliation of donation and event revenue, and also with the Organizational Impact department to develop and implement regular analysis of giving trends and donor behaviors to inform fundraising strategies.

This is a 37.5-hour-per-week position, typically Monday to Friday, with eligibility for hybrid work. Occasional evening and weekend hours may be required.

WHAT YOU'LL DO

  • Overall database management and data entry
  • Ensures regular maintenance and continuous improvement of processes and policies surrounding data and gift entry.
  • Data cleaning
  • Design and manage a comprehensive donor pipeline tracking system, including dashboards and reports to support strategic fundraising decisions
  • Collaborate closely with fundraising officers to monitor donor engagement stages, ensure data accuracy, and regularly identify lapsed donors and new prospects.
  • Serve as the CRM application subject matter expert, overseeing user roles, database permissions, and security protocols to maintain system integrity and relevance.
  • Train new hires on relevant software and provide ongoing training to existing staff on new features and updates.
  • Manage all aspects of reporting, including pulling data, building, disseminating, and presenting monthly reports; regularly reviewing and updating reports as needed; supporting T3010 and quarterly board reporting; and reconciling data with Finance where appropriate.
  • Collaborate with colleagues to identify target groups for communications and manage list generation by pulling and cleaning data for direct mail, mass emails, and ad-hoc requests.
  • Support direct mail campaigns by collaborating with the Development Associate, Direct Response to develop segmentation criteria, generate and clean mailing lists, and coordinate with mailing houses.
  • Assist in planning and purchasing external lists from providers and produce detailed analyses of campaign results to inform future strategy.
  • Provide support to the Donor Relations Officer by assisting with donation processing, tax receipt production, and maintaining the gift coding system. Offer training as needed and provide coverage for the role during absences.
  • Manage fundraising event software by advising the Development Officer, Special Events on effective tools, administering software security, training staff and volunteers, and maintaining guest records and integrations. Provide support before, during, and after events, and analyze event data and survey results to present insights and recommendations to stakeholders.
  • Collaborate closely with development, finance, and communications teams to align data and reporting needs.

WHAT YOU'LL BRING

  • College or University degree.
  • Minimum of 2-3 years with relational databases and CRMs is preferred. Specific experience with Raisers Edge NXT (including Blackbaud certifications), Givergy, and Rafflebox is beneficial.
  • Strong computer proficiency and knowledge of Microsoft Office Suite is required.
  • Demonstrated curiosity with a desire to find creative solutions to challenges.
