Position Summary Under the direction of the Director of Volunteer Services, the Coordinator, Volunteer Services is responsible for oversite of the volunteer workforce including recruitment, assignment, training, orientation and retention of community volunteers, student volunteers and youth. Supporting the mission of Providence Care, the Coordinator, Volunteer Services supports activities and initiatives that promote and enhance volunteer services.
Position Duties & Responsibilities
- Designs and implements recruitment initiatives and processes reflecting best-practices of selection criteria for recruitment of a volunteer workforce
- Develops and ensures effective assignment-specific and volunteer-specific job descriptions and orientation plans
- Works with program staff to identify the needs and related skills, competencies and availability required for volunteers
- Interviews each volunteer to identify their availability, experience, related skills and competencies
- Matches volunteers to appropriate programs by evaluating their interests, availability, and skills against program-specific needs to ensure effective placement and support
- Develops and delivers the new volunteer orientation program for all volunteers onboarding to Providence Care
- Coordinates job shadowing opportunities for volunteers interested in healthcare careers
- Provides appropriate training to volunteers (e.g. communication, wheelchair operation, office equipment, privacy, health and safety)
- Assesses volunteer assignment satisfaction and match and take proactive measures to enhance volunteer retention while ensuring optimal support of program services
- Researches, plans and develops diversional programs for patients, coordinating with clinical support teams (e.g, craft groups, euchre, coffee groups)
- Tracks attendance for patient/client attendance at programs and evaluates effectiveness, initiating changes to enhance programs
- Trains volunteers in volunteer run programs and sets up schedules for programs
- Provides administrative support for volunteer onboarding and program operations, including requesting identification badges, preparing service acknowledgment letters, ordering supplies, and performing other clerical tasks as needed
- Oversees the coordination of volunteer fundraising activities including managing event logistics and promotion and ensure their smooth operation
- Completes other related duties as assigned.
Education & Experience
- Two-year college diploma in Office or Business Administration and/or, certificate in Leisure or Recreation Therapy
- Fundamentals of Volunteer Management certificate
- One year of experience with seniors in an organized program or one year of experience with persons in a health care setting
- Recent and related work experience in a similar role including responsibilities for recruitment, placement and retention of volunteers, and experience in creating and implementing diversional activities in a non-profit, volunteer environment, preferred
- Demonstrated intermediate proficiency using Microsoft Office Suite of products (Word, Excel, PowerPoint; Outlook); ability to use other applications as necessary
