About the role
Dougall Media, Thunder Bay's only locally owned broadcast/multimedia company, has an exciting opening as an Executive Assistant in our Administration team.
We are looking for an Executive Assistant who will be in charge of keeping our Directors team and the company President, well organized and supported. Training will be provided, however, it is expected that you will have experience in this type of role. A great sense of humour, and a no-nonsense approach are assets that you can provide. Someone who has volunteered their time, and values community service will be a great fit with our company culture and family-oriented organization. A great attribute would be understanding various social media platforms as well.
The job description will be to assist the President and Senior Executives as required, and have a little fun while doing so. Primary duties of the position:
- Calendar management and scheduling for the Directors’ Team
- Answer calls for the Executive Team
- Filing support (eg: related to the OES system)
- Conducting Research as requested
- Taking Meeting Minutes as requested
- Preparing reports
- Coordinating meetings
- Understand and use ADP Workforce in a supportive role; Provide support and assistance with ADP Workforce
- Work with SVP Corporate Development on mapping and documenting PPWs and Manuals
- Review, escalate, screen and coordinate responses to company emails
- Coordinate the “Around Town” schedule
- Coordinate travel arrangements for the Executive Team (if required)
- Coordinate company-wide announcements with HR Coordinator
- Other duties as requested, especially those that support the Organizations Objectives.
Required Credentials and skills:
- Ability to make and deliver presentations
- Related college or university degree
- Familiar with software including Office Suite, ADP (or similar HR enterprise software)
- Can coordinate Social Media communications
- Discrete & Confidential
- Uphold policies and procedures within the companies
- Valid Ontario Drivers’ Licence
