Primary Responsibilities Reporting to the VP Sales, the primary responsibility for the position is to consolidate, lead and develop a team of sales coordinators while increasing the efficiency of existing sales administrative processes and procedures to enhance the company’s internal capacity. This role is vital in ensuring that administrative tasks are efficient, cost-effective, and aligned with the company's overall goals. This role drives initiatives involving workflow assignment, automation, continuous improvement, and process standardization. As a people leader, this position will manage the employee life cycle, including talent acquisition, onboarding, training, career development and motivating a diverse team, fostering a high-performance work environment. This position collaborates cross functionally with the account, field sales, brand, supply chain, warehouse & customer service. Essential Functions

  • Support and participate in food safety programs including SQF (Safe Quality Food).
  • Leading a national sales coordinator team, working cross Canada, supporting the regional and national Customers
  • Define and oversee the delivery of core sales administrative functions, ensuring that administrative tasks are assigned and executed in a timely, efficient, and consistent manner.
  • Act as a liaison between different departments to ensure smooth communication and the efficient sharing of information, resources and direction to deliver service excellence
  • Consistently strive for service excellence, and help solve problems that impact efficiency, service and productivity while leading continuous improvement initiatives in collaboration with the cross-functional teams
  • Identify, solve and implement opportunities to streamline administrative processes and reduce costs through shared services. Get the most out of the available resources.
  • Introduce and manage technology solutions to improve administrative functions, such as document management systems, workflow automation tools, and communication platforms
  • Define performance metrics and prepare reports on the performance of administrative services and services provided to different departments
  • Ensure that internal and external stakeholders receive prompt and efficient support for their administrative needs by responding to requests and resolving any service-related issues timely, accurately and efficiently.
  • Manage account specific portals assignments and workflow
  • Other duties and special projects as requested, including workload management and role backfill.
  • Maintain safe work practices and safeguards all confidential company information.

Minimum Requirements, Qualifications, Additional Skills, Aptitude

  • University degree in business, marketing, or equivalent combined with 5-7 years of prior experience in a sales coordinator, office administrator or executive assistant people leadership role, preferably in the CPG industry.
  • 3-5 years people management experience, including the employee life cycle & talent evaluation
  • Require strong communication and interpersonal skills. Must be tactful, mature and flexible with good reasoning abilities and sound judgment. Strong command of the English language. French is an asset.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with strong Excel skills for data analysis and reporting.
  • SAP experience, particularly with trade promotion management, is an asset
  • Experience with navigating and managing customer portals.
  • Quick to learn and apply in a fast-paced environment. Able to pivot work priorities to meet the dynamic demands of the business.
  • Strong multitasking skills with the ability to manage multiple priorities and differing personalities.
  • Excellent planning skills, with attention to detail so that workflow is managed efficiently
  • Ability to work independently and as part of a team in a fast-paced environment, doing so with a high level of transparency, confidentiality, integrity and excellent work ethic.
