Working for the Office of Advocacy and Wellbeing (OAW)
The Office of Advocacy and Wellbeing (OAW) in the Faculty of Medicine & Dentistry (FoMD) looks after issues pertaining to the health and well-being of undergraduate and graduate learners, residents, and post-doctoral fellows, and advocates on their behalf. OAW provides confidential, arms-length support to learners as an independent office, separate from their program.
Position
Join an exciting initiative supporting the future of medicine in northern Alberta! The Administrative Assistant, Office of Advocacy and Wellbeing (OAW) – Grande Prairie plays a key role in supporting medical learners through the Northern Alberta Medical Program (NAMP) with the University of Alberta’s Faculty of Medicine & Dentistry. Based at the Grande Prairie site, this part-time position provides specialized administrative support across multiple areas, including learner engagement, event coordination, communications, and operational processes.
As the first point of contact for learners accessing advocacy and wellbeing supports, this role is central to fostering a positive, supportive, and efficient environment for medical students. If you’re a highly organized professional who enjoys making a difference in learners' lives, this role may be a perfect fit.
You’ll work closely with OAW faculty, staff, and leadership at both the local (NAMP) and central (U of A) levels, reporting administratively to the Manager, Office of Education and taking direction from the Associate Dean, OAW, and Director, Student Affairs (NAMP).
Duties
- Coordinate scheduling for learner counselling sessions and support the Director, Student Affairs at NAMP.
- Act as the first point of contact for medical learners at the Grande Prairie site, responding to inquiries and connecting them to supports.
- Provide administrative support for meetings, including agenda preparation, documentation, and minutes.
- Plan and coordinate events such as student ceremonies, orientation week, and career development activities.
- Assist with the administration of awards, bursaries, and emergency financial support for learners.
- Support communications by drafting emails, preparing briefing notes, and updating webpages.
- Process purchasing, invoices, travel claims, and credit card reconciliations using university systems.
- Collaborate with the Edmonton OAW admin team and provide cross-coverage as needed.
- Support NAMP student representatives with planning and delivering student-led initiatives.
Qualifications
- Minimum 2-year diploma in a relevant discipline and several years of related experience. Equivalent combinations of education and experience may be considered. A Post-Secondary degree in Business Administration is preferred.
- Professional written and oral communication skills.
- Strong multi-tasking skills: should have the ability to be flexible and adaptable in a complex environment and possess strong problem-solving skills and decision-making within a larger team.
- Have excellent technical skills (computers and other office tools), including aptitude in MS Word, Excel, PowerPoint, Google Calendar, Google Suite, Google Apps; and ability to learn new software platforms as necessary.
- This role involves frequent interaction with students and requires someone with strong interpersonal skills, sound judgment, and the ability to assess and respond appropriately to situations based on their urgency and sensitivity.
- Must be familiar with the responsibility of working with highly sensitive and confidential material.
- Demonstrated effective interpersonal skills in working with learners, staff, Faculty, internal and external groups, and the community.
- Must possess a valid driver's license and have the ability to travel on occasion.
- Event planning experience is considered an asset.
