About the role

As a part of our outstanding Volunteer Engagement team, the Associate, Volunteer Engagement supports the experience of our United Way volunteers through strong communications, data management, and administrative coordination. In this permanent full-time role, you will bring heart to logistics, clarity to processes, and care to every volunteer.

About the role:

In this role you will maintain and improve volunteer systems and tools, supports volunteer recruitment and retention efforts, and ensure timely communication with volunteers. You will support the growth of United Way’s Cabinets by coordinating Cabinet operations, including event planning, broad communications, recruitment processes, and the onboarding and offboarding of all Cabinet volunteers. In addition, you will contribute to the coordination of select engagement activities such as those related to our affinity groups, engagement events, and Poverty Simulations. This position reports to the Program Manager, Volunteer Engagement.

Day to Day Duties:

Cabinet Operations & Engagement

  • Works with the Program Manager, Volunteer Engagement to support Cabinets through communications, event planning, recognition, meeting coordination, and strategic initiatives.
  • Coordinates Cabinet volunteer onboarding, offboarding, and recruitment, including updates to role profiles, terms of reference, and the Cabinet Portal (OneDrive).
  • Provides administrative and meeting support for cabinet meetings including calendar management, note-taking, and virtual / hybrid meeting set up.
  • Conducts internal and external Cabinet systems for scheduling, communications, and informational resources, including prospect tracking, info sheets, annual gap analysis and assessments, Cabinet outlook calendar, Cabinet webpage updates, and more.

Volunteer Data & Systems Management

  • Coordinates organization-wide volunteer data collection and administration through Salesforce (CRM) and GivePulse (Volunteer Management System) to support the full volunteer engagement lifecycle.
  • Administers GivePulse system management, including creating and updating volunteer opportunities, shifts, forms, schedules, dashboards, and automated communications.
  • Supports staff partners in accurate volunteer data entry, system use, and reporting practices to maintain consistency and alignment with organizational goals.
  • Assists with volunteer data pulls for grant applications, insurance, organizational reporting, annual reports, and targeted communications.

Volunteer Administration & Recruitment Support

  • Works to enhance volunteer experience by supporting the development of customer-facing materials, resources, and touchpoints including recruitment collateral, onboarding guides, training resources, and role descriptions.

  • Activates volunteer recruitment strategies, including targeted outreach, marketing materials, and engagement campaigns.

  • Recruits targeted volunteers from the United Way staff team, Board of Directors, and Cabinet for opportunities specific to them such as Red Tie Gala Nominations Advisory Panel and Donor Thank You Calls. Responsible for onboarding all volunteers in these roles and works with Workplace Fundraising Associate to host meetings and sessions.

  • Supports planning and execution of 6+ Poverty Simulations annually, overseeing program materials, volunteer scheduling, sign-ups, and training.

About you:

You are eager to apply your exceptional administrative and project management expertise with a focus on organization, execution, and follow-through to this role. Highly organized with the ability to plan, set priorities and maintain a strong attention to detail.

You are eager to apply your excellent communication and administrative skills, and exceptional skills in data management, reporting, and analytics to support operational efficiency and strategic planning. You have a strong knowledge of communications best practices along with exceptional writing, and digital communications skills.

You have a certificate or diploma in Administration or related field, and a minimum of two to three years of related experience. A combination of education and experience will be considered. A valid driver’s license and must be either over the age of 25 or have at least six years of driving experience to be eligible to operate the United Way van. Availability for early mornings meetings and some evening and weekend events will be required.

You have a can-do attitude, are outcomes driven, and approach situations with empathy and collaboration. Thinking creatively, developing innovative ideas, and juggling multiple tasks and priorities is how you thrive. You love operating in a digital environment and are proficient with MS Office, SharePoint and Planner, CRM databases, and volunteer management software (preferred).
