About the role

Overview
The Program Support Coordinator provides key administrative and operational support to BCWWA’s Education and Cross Connection Control programs, reporting to the Manager of Education, Training and Technology. This role also works closely with the Senior Coordinator, Cross Connection Control. This customer-facing role plays a vital part in ensuring the efficient delivery of programs and services by assisting with daily operations, responding to customer inquiries, and facilitating program-related transactions. The ideal candidate will bring strong customer service skills, a high degree of accuracy, and excellent attention to detail—particularly when entering and managing large volumes of data in the Association Management System (AMS) and related platforms. Responsibilities also include supporting membership renewals, course and exam registrations, and general program coordination tasks. This is a temporary position for 12-18 months to help cover the duration of a maternity leave.

Key Responsibilities

  • Customer Service & Outreach

Serve as the first point of contact for inquiries, providing timely and professional responses to customers via phone, email, and other channels.

  • Registration & Transaction Processing

Support customers with purchases, registrations, and other transactions. Responsibilities include entering and updating customer and payment information in the Association Management System (AMS), generating and sending invoices and receipts, registering participants in courses and events, and following up on pending payments.

  • Program & Course Support

Assist in the delivery of education and certification programs by coordinating logistical and administrative tasks. This includes:

  • Preparing and distributing course materials, exam packages, and related documents.

  • Sending timely communications such as confirmations, reminders, and updates to students and customers.

  • Monitoring registration deadlines and providing follow-up support as needed.

  • Technical Support

Provide basic technical assistance to users navigating BCWWA’s Learning Management System (LMS) and virtual platforms (Zoom, MS Teams) during online courses and workshops. Troubleshoot common issues and escalate as required to ensure smooth user experiences.

  • General Administrative Support

Perform a range of administrative duties to support the Education and Cross Connection Control teams, including data entry, document organization, scheduling assistance, and file maintenance.

  • Other Duties as Assigned

Contribute to the successful execution of BCWWA’s strategic goals by undertaking additional tasks and special projects as assigned.

Education and Experience

  • A degree or equivalent experience in education, administration, or a related field; or a minimum of 2 years of relevant work experience, ideally in an education or membership-based organization.
  • Hands-on experience using a Learning Management System (LMS) to support online learning or training delivery.
  • Familiarity with Association Management Systems (AMS) is considered an asset.

Knowledge

  • Basic understanding of instructional design principles, and foundational finance concepts.
  • Familiarity with providing basic technical support for online platforms and virtual learning tools.
  • Basic working knowledge of desktop publishing and document preparation tools.
  • Awareness of administrative procedures and office systems, including record-keeping and file management.

Skills and Abilities

  • Strong skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Basic skills in e-learning tools such as Articulate Storyline and Rise.
  • Excellent oral and written communication skills in English, with the ability to communicate clearly, professionally, and effectively.
  • Highly organized, with strong time management abilities and the capacity to manage multiple tasks and priorities efficiently.
  • Strong interpersonal and collaboration skills—able to work well independently and as part of a team; communicate ideas and concerns constructively.
