Position Overview
We are seeking a detail-oriented and motivated Finance Administrator to join our Finance team. This position will provide support across a range of administrative and financial processes, with cross-training provided in key areas such as invoicing, reconciliations, board support, and registration. The successful candidate will assist current team members and develop the skills and experience to take on additional responsibilities over time.
Key Responsibilities
- Monthly Credit Review: Support the review of “Credits on Account” reports to ensure credits are properly linked to outstanding invoices or applied to future registrations and memberships.
- Accounts Receivable Management: Assist in monitoring aged receivables, identifying long-outstanding balances, and supporting the preparation of write-off recommendations in collaboration with the Director of Finance.
- Invoice Processing & Reconciliations: Provide support to the staff responsible for processing vendor invoices using Dext and ApprovalMax. Assist with reconciling Visa transactions and ensuring accurate HST coding and GL allocation. Cross training will be provided, with the potential to take on more responsibility in this area over time.
- Registrar Support: Provide backup support for registrar functions such as account setup, data entry, and maintaining system accuracy for registrations and billing.
- Membership Assistance: Review membership assistance applications, confirm documentation, and apply financial assistance awards according to the Membership Assistance Matrix.
- Cash Reconciliation: Assist in reconciling daily cash receipts across departments, identify variances, and ensure timely deposits and accurate recordkeeping.
- Booking & Invoicing Coordination: Help maintain facility and rental bookings using Membership CRM, prepare invoices for individuals and organizations, and ensure proper revenue and tax allocations.
- Board Meeting Administrative Support: Provide assistance to the team member responsible for coordinating board meetings. This includes supporting scheduling, preparing meeting materials, setting up meeting spaces, attending meetings, and recording minutes as needed. Cross-training will be provided, with the opportunity to take on more responsibility in this area over time.
- Departmental Support: Provide administrative and financial support to the Director of Finance, including assistance with reporting, compliance tasks, and budget tracking.
- Special Projects: Support various financial projects, including audit preparation, policy development, process improvements, or system transitions, as assigned.
Skills & Qualifications:
- Post-secondary education in accounting, business administration, or a related field (or equivalent experience)
- Strong attention to detail and accuracy in financial processes and data entry
- Proficiency in Microsoft Excel; experience with Cloud Accounting, or ActiveNet is an asset
- Excellent organizational and time management skills
- Ability to handle confidential information with discretion and professionalism
- Strong interpersonal and communication skills
- Willingness to learn new systems and grow into increased responsibility
- Well-developed interpersonal, and relationship building skills; ability to establish rapport and excellent communication (verbal & written) with members, staff and volunteers.
- Commitment to working in a socially inclusive environment responding with sensitivity and personal awareness to the diverse needs of members including visible and non-visible dimensions of diversity.
Note: Successful candidates will be required to provide a current and satisfactory Criminal Record Check/Vulnerable Sector screening, and proof of certifications, if applicable.
