Job Description Summary
This is a permanent position working within the Collections Care and Management and Access Department of the Museum of Anthropology. The position helps manage the Museum s collections and their related security and will be responsible for: managing and directing exhibit installations in the Multiversity gallery and special projects; processing new acquisitions; designing and fabrication of object displays, exhibit and storage mounting systems; developing and implementing appropriate procedures for the training of interns, volunteers and students; and managing and overseeing object activity streams.
Organizational Status
This position may report to Department Head or the Collections Manager and works closely with the all Collections Care and Management Department staff.
Work Performed
This position is responsible for:

Designing and fabrication of specialized exhibit and storage mounts; managing mount making workflow.

Managing and overseeing the installation of exhibits in the Multiversity and Koerner galleries, coordinating between MOA departments during exhibit preparation, installation, and de-installation.
-
Processing new acquisitions and conducting the Museum s accessioning processes, including documentation, acquisitions related pest management, accessioning objects, condition reporting, numbering objects and entering the related data into the collections database software, Mimsy XG.

Coordinating the tracking, movement and installation/deinstallation of objects as related to acquisitions, access requests, loan requests, storage issues, exhibition activities and special projects.

Providing access to the object collections and their records for staff, UBC faculty, researchers, originating community groups and the public, and scheduling the associated research rooms.

Maintenance and cleaning of long term object displays in the public galleries.

Creating and editing reports of collections data for staff, researchers and institutional reporting, using Crystal Reports.

Entering cataloguing data into Mimsy XG records, as provided by curators and researchers.

Managing supplies and storage furniture for the collections department, ethnology lab, acquisitions processing room, research rooms and object storage rooms.

Demonstrate collections related techniques during labs (approximately 3 per year) in e.g., Anth 431, 451.
-
Manage, demonstrate techniques and supervise the Collections intern program (ca. 3 months per year), including intern hiring, training and evaluations.
-
Museum committee participation and leadership, including projects related to committee work.

The position is also responsible for a variety of other Collections related tasks, including special projects affecting the collections, and support work as required.
Consequence of Error/Judgement
The Museum is a public trustee of rare and valuable collections; the Collections Coordinator & Technician is responsible for the safe keeping/handling of both public and private collections and their associated records. Errors could have financial, legal, ethical and other consequences for donors, lenders and for the University.
Supervision Received
Works under limited direction to meet defined goals. Work is reviewed in terms of achievement of defined goals.
Supervision Given
Supervises volunteers, interns and/or temporary staff (CUPE 116).
Minimum Qualifications
Completion of a university degree in a relevant discipline or technical program and a minimum four years of related experience or an equivalent combination of education and experience. Some positions may require a graduate degree.

Preferred Qualifications
Demonstrated knowledge of professional collections management processes and preventative conservation standards. A demonstrated competency in design housing systems for museum collections. Ability to efficiently and effectively manage and coordinate tasks, and ability to train. Awareness and sensitivity to issues concerning collections originating from First Nations and other originating communities, as well as experience working with the public and university community. Knowledge of the Museum of Anthropology’s collections and processes is preferred; experience entering data in MIMSY XG software and creating reports in Crystal Reports software is preferred. Basic knowledge of professional ethics and material culture is desirable. Physical ability to perform the duties of the job. (e.g., lifting, standing, working at heights, operating forklifts) Ability to conduct needs analyses, plan, organize, manage, monitor, complete, and evaluate projects within allocated time and resources. Ability to effectively manage multiple tasks and priorities. Ability to analyze and redesign workflow/business processes to make them more efficient and effective. Ability to input and extract data and compile data reports from Crystal Reports. Ability to analyze problems, identify key information and issues, and effectively resolve. Ability to efficiently and effectively coordinate tasks. Ability to accurately create and maintain records. Ability to demonstrate relevant techniques to students and others as required. Ability to train.
