About the role

Scheduling (Time & Attendance) Specialist

Monday-Friday 8:00am-4:00pm Week 1-4

We are currently accepting applications for a Term CDP or Team Leader, depending on qualifications, to join our Time & Attendance & Centralized Relief team. This position plays a vital role in supporting workforce scheduling, centralized relief coordination, and ensuring payroll accuracy through ADP. The successful candidate will report to the Centralized Relief Time & Attendance Manager and provide essential scheduling support to program teams across the Association.

Skills and Abilities:

  • Strong knowledge of Microsoft Office (Excel, Word, and Outlook).
  • Well-developed communication skills, verbal and written, with the ability to work with a variety of people in a team environment.
  • Ability to work closely with Human Resource and Payroll team members to provide support to employees.
  • Ability to demonstrate work with attention to detail and accuracy.
  • Positive attitude and mature work ethic coupled with an ability to work independently and as part of a team.
  • Excellent customer service skills. Strong written and verbal communication skills.

Qualifications:

  • Understanding of Robin Hood Association’s reporting structure, staffing practices, and scheduling systems.
  • Experience with ADP Time & Attendance or time entry processes preferred.
  • Knowledge of Employment Standards related to hours of work and scheduling.
  • Familiarity with staffing qualifications and program-specific support requirements.
  • Internal candidates must demonstrate reliability in meeting ADP time entry expectations.

Responsibilities:

  • Create, update, and maintain employee schedules in ADP Time & Attendance, ensuring alignment with program needs and payroll deadlines.
  • Communicate changes to employee schedules or employment status through the Change Point system.
  • Coordinate relief staff assignments and shift coverage in response to program vacancies, short notice absences, or emergent needs.
  • Provide direct scheduling support to programs, ensuring adequate staffing based on service levels and individual support requirements.
  • Respond to scheduling and staffing requests from program supervisors and team leaders in a timely and solution-focused manner.
  • Support the Centralized Relief team through oversight, guidance, and troubleshooting as needed.
  • Train and orient new staff on proper ADP time entry and pay control procedures.
  • Collaborate closely with HR and Payroll teams to ensure smooth workflows and accurate payroll data.
  • Participate in system testing, development initiatives, and vendor follow-up related to ADP.
  • Troubleshoot and resolve scheduling issues, escalating complex concerns when necessary.
  • May be given additional responsibilities as need arises and as requested by direct supervisor.
