Position Summary

The Facilities Maintenance Manager is a key leadership role responsible for the oversight and operational integrity of multiple clinic locations. This position ensures all facilities are safe, functional, and support efficient patient and employee flow. As a hands-on, proactive problem solver, the Facilities Maintenance Manager applies in-depth knowledge of facility systems and repairs while maintaining focus on long-term asset management and preventative maintenance strategies.

This role directly supervises the Facilities Technician and Facilities Helper, providing guidance and coordination for day-to-day maintenance operations, ensuring timely resolution of maintenance requests, and upholding facility standards across all sites. The Facilities Maintenance Manager will collaborate with internal teams and external vendors to implement effective maintenance practices and improvement initiatives.

This position includes on-call responsibilities as needed.

Duties and Responsibilities

Relationship and Contract Management

  • Serve as the primary liaison for all facility-related concerns raised by Insight staff and the executive team.
  • Provide direct supervision to the Facilities Technician, including task assignment, performance evaluation, and workload monitoring.
  • Act as the main point of contact for contractors, ensuring tasks are clearly communicated with defined timelines and expectations.
  • Oversee cleaning and environmental service providers including negotiating and approving service contracts for all locations.
  • Maintain communication with building managers to report incidents, relay operational requirements, and communicate changes.
  • Manage contracts and operational functionality for alarm and monitoring systems.

Repair, Maintenance, and Construction Oversight

  • Ensure clinics are well-maintained and safe by resolving facility issues in a timely manner, covering areas such as:
    • Flooring, lighting, drywall, painting, plumbing, HVAC, window treatments, security and access systems, life safety systems, fixtures, office equipment and signage.
  • Administer the Corrigo CMMS system, ensuring maintenance requests are reviewed and addressed promptly using internal or external resources.
  • Coordinate scheduled maintenance activities and proactively identify and resolve potential facility concerns.
  • Lead clinic construction and renovation efforts, ensuring clear, consistent communication with internal teams and external contractors.

Equipment Management

  • Maintain an up-to-date database of equipment assets and associated maintenance schedules.
  • Generate and manage service summary reports for all clinical equipment.
  • Oversee equipment warehousing and storage logistics.
  • Manage service calls and related vendor communications.
  • Notify management and relevant stakeholders of upcoming maintenance and service requirements.
  • Issue purchase orders (POs) for equipment servicing.
  • Ensure all preventive maintenance is completed as scheduled and analyze total annual service costs for efficiency.

Clinic and Safety Inspections

  • In conjunction with the Facilities Technician, regularly inspect all Insight properties for repair, maintenance, and improvement opportunities
  • Assist with safety inspections and compliance efforts across all clinic locations.
  • Support the Health and Safety team as a non-voting member of the Joint Health and Safety Committee.

General Duties

  • Maintain and update action plans or reports for ongoing maintenance, ensuring timely task assignment to appropriate parties (site leads, managers, executives, or contractors).
  • Develop and monitor facilities and maintenance budgets.
  • Maintain a regular presence across clinic locations to ensure operational consistency.
  • Support planning for new facilities, including space assessments, coordination of requirements, and communication with key stakeholders.

Skills

  • Extensive hands-on experience in skilled trades and/or facility maintenance operations.
  • Self-motivated with strong initiative, attention to detail, and a commitment to high-quality work.
  • Proficient and knowledgeable in a broad range of maintenance disciplines, including carpentry, plumbing, mechanical systems, janitorial tasks, electrical work, and the safe use of both manual and power tools.
  • Demonstrated success in managing projects and coordinating maintenance activities and equipment needs across multiple sites.
  • Solid understanding of building codes, safety regulations, and relevant legislation.
  • Familiarity with budgeting processes and cost-control practices in a facilities management context.
  • Ability to perform effectively in a fast-paced environment, with strong multitasking and prioritization skills.
  • Maintain a high level of professional conduct, ethical standards, and dependability.
  • Professional, courteous, and tactful in interactions with staff, vendors, and stakeholders.
  • Strong verbal and written communication skills.
  • Proven ability to work collaboratively and contribute positively as part of a team.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, OneDrive, SharePoint).
  • Experience with Building Management Systems (BMS) and/or Computerized Maintenance Management Systems (CMMS) such as Corrigo is considered a strong asset.
  • Ability to read and interpret blueprints and specifications would be considered an asset.
  • Must have the ability to read, interpret, apply and communicate Code, Regulations and adopted Standards.

Qualifications

  • A minimum of 5 years of supervisory experience in facility operations or maintenance is required.
  • Education or proven experience with HVAC, plumbing and electrical systems is required.
  • Facility Management Professional (FMP) or Certified Facility Manager (CFM) ispreferred.
  • A combination of education and experience may be considered
  • Valid driver’s license and reliable personal transportation is required.
  • Must be capable of performing necessary physical duties including the movement of heavy objects (up to and including 50lbs).
