SUMMARY:
The Admin Specialist is the first point of contact and is to be the company ambassador responsible for a wide variety of clerical office duties in support of company administration. This includes greeting and screening visitors in a professional manner, determine nature of business and direct visitors to the designated area, answering and referring inbound telephone calls, scheduling appointments, managing the mail, generating daily reports and performing customer service duties deemed necessary.
DUTIES AND RESPONSIBILITIES:
· Greet guests in a friendly, professional manner and provide information, assistance and directions to all guests in the reception area
· Answers and appropriately routes incoming telephone calls to staff members or their voice mailboxes
· Respond to e-mail and in-person inquiries from clients, business partners, and other parties and refer them to the appropriate individuals, divisions, or departments across the organization
· Take and record telephone, e-mail, or written messages for staff members
· Type forms, letters, reports, and memos as necessary
· Receive and distribute all forms of paper correspondence
· Organize, maintain, and coordinate office records and files in their proper locations
· Where necessary, assist in the compilation and transcription of data for various reports.
· Where necessary, assist with administrative and customer service functions
· Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence when necessary
· Receive in-coming cheques and deliver to accounting department
· Back up coverage for Mailroom/Scanning office clerk
· Other functions as deemed fit and necessary at manager’s discretion
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
· Intermediate working knowledge of AS 400, Microsoft Excel and Access is required
· Excellent communication and interpersonal skills are essential
· Well organized and strong attention to detail is required
· Must be able to work in a fast paced environment and be flexible to changing priorities
· Must be able to work independently as well as part of a team
· Willingness to assist others and go the extra mile
· Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items
· Ability to apply understanding to carry out instructions in written, verbal, or diagram form
· Superior telephone manners and strong interpersonal skills
· Strong written and verbal skills to communicate with all levels of the organization and its executive team
· Strong customer service orientation
EDUCATION/TRAINING:
· High school diploma or GED
· 1 year of direct work experience in a receptionist capacity
· Able to write simple correspondence, including memos, letters, etc.
· General mathematical skills
· Ability to apply understanding to carry out instructions in written, verbal, or diagram form
Job Type: Full-time
Pay: $41,000.00-$42,500.00 per year
