About the role

The Granite Club is looking for a full time Events Manager who serves as the representative of the Events Department within the Food and Beverage Team, overseeing the planning, coordination, and execution of all Member events, Member-sponsored functions, and internal corporate and social gatherings at the Granite Club. A key responsibility of this role is to lead and manage the Event Reservations process for all Club-driven events.

Primary Responsibilities

  • Manages all aspects of event reservations, including entering details into the Northstar system, handling Member bookings and inquiries, creating BEOs, coordinating with vendors, and developing floor plans.
  • Keeps the Food & Beverage team informed with up-to-date event information including guest counts, dietary restrictions, special requests, audio visual & setup requirements.
  • Provides on-site support during events, overseeing check-in and addressing any issues that may arise.
  • Ensures all event details are finalized and that billing is completed accurately and efficiently.
  • Out-source any additional décor items or suppliers as requested by client.
  • Utilize Northstar to generate Banquet Event Orders (BEO’s).
  • Develop proposals for and conduct site tours with prospective clients in all markets. Follow up in a timely manner.
  • Liaise with all F&B departments to ensure BEO specifications are met and are accurate.
  • Promote and monitor event feedback to ensure Member and guests satisfaction and maintain the high standards of service that define Granite Club Hospitality.
  • Assist in development and implementation of strategic marketing plan to ensure growth with existing markets and capture new markets within the Membership.
  • Assist with preparation of forecasts and budget development
  • Prepare month end document to efficiently track lead sources, productivity, successes, lost business, forecasts and marketing planning.
  • Assist in maintaining consistency of service and set up standards in Food and Beverage via on site and pre-room inspections and follow through of event order specifications.
  • Participate in weekly Events, Food & Beverage and Operation meetings.
  • Conduct daily contract meetings.
  • Review bills to ensure accuracy.
  • Attend external industry related events to stay current with latest developments in field as directed.
  • Proactively develop and implement creative strategies to identify new business opportunities within the Membership, with the goal of increasing event sales and enhancing Member engagement
  • Consistently practice all related administrative procedures and policies for the department.
  • All other duties as assigned. by Senior Events Manager.

Required Qualifications

  • 3 years Catering and Hotel/Event Planning experience required
  • Hospitality or University degree
  • Goal orientated, team player, driven
  • High energy and a positively infectious attitude
  • Inspiring motivational skills to encourage involvement and pride of purpose
  • Strong organizational, written, oral and interpersonal skills
  • Excellent public relations, communication and marketing skills
  • Ability to read, write and speak English fluently
  • Computer skills preferable with Microsoft Office Applications/Northstar or similar Point-of-Sales/Catering Systems
  • Flexible schedule that may include evenings, weekends and holidays
