SCOPE
Reporting to the Department Administrators (SCPA and Political Science) and functionally to the Principal of SCPA, the incumbent provides information and assistance to the public regarding departmental regulations and procedures, directs them to the appropriate contact, and assists members of both Departments. Serves as a resource person to faculty members regarding student forms, policies and procedures as they pertain to the Departments and the University.
PRIMARY RESPONSIBILITIES

Ensure that both department offices run smoothly by responding to, and directing, in both official languages, incoming mail, e-mail, phone, and in-person enquiries from current and potential students, alumni, faculty, other internal callers, and external organizations, by posting relevant information, and by ensuring that administrative deadlines and procedures are met. They maintain inventory and order office supplies when required. They are responsible for the booking of the department seminar and conference rooms and updating of on-line room calendars.

Perform all administrative tasks (typing, copying, filing) for the SCPA Principal .

Maintain the reception area and surrounding areas (bulletin boards, internal mailboxes, display cases and photocopy rooms). As well as, responsible for sorting and distributing mail to faculty and staff in both departments.

Maintain the School of Community and Public Affairs website and listserv, and prepare materials for the website. In both languages, and in consultation with the Coordinator of Academic Programs and Curriculum Development, uses desktop publishing tools to design posters and edit pamphlets and press releases.

Responsible for maintaining the filing systems for both Political Science and SCPA, ensuring files are kept confidential, and material is well organized and up to date .

Resposible for updating and maintaining the social media pages for both Political Science and SCPA.

Responsible for maintaining and distributing all department forms to faculty members and students for both Political Science and SCPA.

Responsible for the submission and dissemination of class cancellation information for both Political Science and SCPA.

Responsible for supporting Political Science and SCPA with arranging room and audio-visual bookings for class related activities (make-up days, examinations, etc.). Maintains up-to-date lists for the department (Guest Lectures, Supplies, Photocopier codes, etc.); places various service calls.

Collect course outlines and office hours from Political Science and SCPA faculty members, post schedule and maintain shared drive.

Assist in organizing public events for both departments. Books rooms for lectures, discussions, and presentations, arranges for catering services, makes hotel and travel arrangements for guests.

Undertake other tasks, as required by the Principal, SPCA.

Schedule appointments for students with Political Science Undergraduate Academic Advisors.

Perform other duties as assigned by the Department Administrators in support of the unit .
QUALIFICATIONS
- Diploma of Collegial Studies (2-year pre-university program) in a field pertinent to the primary responsibilities and two to four years of related experience, preferably in an academic environment. Familiarity with the university environment is desirable.
- Knowledge of the University’s academic infrastructure and administrative practices and regulations an asset.
- Good knowledge (Level 4) of spoken and written English in order to provide departmental information and to draft correspondence; basic knowledge (Level 3) of spoken and written French in order to respond to program-related in-person, electronic and telephone inquiries.
- Good knowledge (Intermediate level) of Word (in order to prepare correspondence, documents and minutes and perform mail mergers), Excel (in order to format charts and input data) and e-mail applications. Comfortable learning new software applications.
- Knowledge of the Unity ecosystem, Student Information System (SIS), Faculty Resource Information System (FRIS), Teaching Assistant Application System (TAAS) are assets.
- Excellent interpersonal, communication, and organizational skills.
- Ability to work independently and as part of a team.
- Ability to work with delicate, confidential matters with tact, discretion, and diplomacy.
- Keen attention to detail, sensitivity to students’ concerns, resourcefulness.
- Ability to handle a high volume of inquiries and to work in a fast-paced environment.
- Ability to multi-task and prioritize in a busy, diverse, client-oriented service environment, and to take initiative. Ability to work well under pressure.
