CBC Sports is seeking a highly organized and proactive Administrative Specialist to join our Business Team as we gear up for the Milano Cortina 2026 Olympic Games. This is a pivotal role, ensuring the smooth and efficient operation of our team as we prepare to deliver exceptional Olympic coverage. If you have experience in TV or media production and logistics, that's a strong asset!
What You'll Do As our Administrative Specialist , you'll be the backbone of the CBC Sports Business Team, providing comprehensive support to various production components. You'll be instrumental in ensuring seamless operations and contributing directly to the success of our Olympic coverage.
Your Key Responsibilities Will Include
- Comprehensive Administrative Support: Provide full administrative support to the CBC Sports Business team, managing logistics, handling day-to-day administrative matters, and ensuring adherence to established procedures.
- System & Document Management: Maintain and sometimes develop efficient filing systems, inventory tracking, payment tracking, and the tracking of other production assets and resources. Accurately and promptly prepare, gather, receive, and enter documents and information into relevant systems.
- Travel & Expense Coordination: Coordinate all travel arrangements (flights, hotels, ground transportation, meeting coordination) and manage expense reports for production teams, both internal and freelance team members,
- Contract & Payment Processing: Prepare contracts and agreements, ensuring compliance with collective agreements, legislation, industry standards, and CBC policies. Process payments efficiently within CBC contract and invoice portals.
- Operational Planning Support: Analyze production and departmental needs to contribute to short- and long-range planning, helping facilitate decisions related to facilities, resources, schedules, and procedures.
- Meeting & Communication Facilitation: Prepare written and visual materials, agendas, and minutes for meetings. Organize and arrange meetings, conferences, and staff functions, coordinating calendars across multiple time zones. You'll also be the welcoming face, greeting and interacting with visitors.
This role requires a proactive self-starter with meticulous attention to detail, excellent communication skills, and the ability to thrive in a fast-paced environment.
What You Bring We're looking for a highly organized and collaborative individual ready to take on the challenges of a major sporting event.
- Experience & Education: A university or college education, OR at least 3 years of experience performing administrative or coordination duties in a professional setting.
- Technical Proficiency: Proficiency in Google Suite and Microsoft Excel, with the ability to quickly learn other applications and internal CBC systems.
- Communication Skills: Excellent written and verbal communication skills, demonstrating discretion, diplomacy, and professional tact.
- Organizational & Problem-Solving Skills: Strong organizational skills and meticulous attention to detail. You're a proactive problem-solver with the ability to manage multiple priorities, work under pressure, and meet tight deadlines.
- Collaboration & Independence: A collaborative mindset with strong relationship-building skills. You can work effectively both independently and as part of a team.
- Adaptability: The ability to handle confidential information with discretion and work various shifts, including overnights during the Olympic Games. You'll also need the ability to lift boxes.
Assets That Set You Apart (not required but would be an asset):
- Experience working in a TV or media production environment.
- General knowledge of CBC/Radio-Canada.
- Passion for high-performance and Olympic sports.
- Cultural awareness and sensitivity, with knowledge and understanding of, and/or connection to, underrepresented communities across Canada.
- Experience with Workday and Livelink.
- Prior experience booking travel and accommodation.
- Bilingualism (English/French).
