Responsibilities

  • Greet visitors and clients warmly in person and on the phone; screen and direct calls or messages to appropriate staff.
  • Maintain a tidy and welcoming reception area, ensuring necessary materials and supplies are stocked.
  • Receive, sort, and distribute mail and deliveries; handle basic shipping and courier tasks.
  • Organize and maintain electronic and physical filing systems for documents related to projects, correspondence, and general administration.
  • Create and manage accurate records, notes, schedules, and files for tasks such as tenders, RFIs, approvals, and changes.
  • Monitor project timelines and provide regular updates to relevant staff.
  • Provide clerical and administrative support to various departments, including data entry, filing, photocopying, and transcribing.
  • Coordinate and support internal office functions and events as needed.
  • Order and maintain office and kitchen supplies.
  • Adapt quickly to shifting priorities and support multiple ongoing projects during different stages of development.

Qualifications

  • High school diploma required; post-secondary education in administration, construction, or related field is an asset.
  • Previous experience in administrative, reception, or customer service roles.
  • Strong verbal and written communication skills in English.
  • Proficiency in Microsoft Office (Word and Excel); Google Suite experience is a plus.
  • Excellent organizational skills with strong attention to detail.
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Professional, proactive, and customer-service oriented demeanor.
  • Familiarity with office equipment (e.g. fax, printer) and basic document management practices.
  • Basic AutoCAD knowledge and experience reviewing shop drawings/specs is a plus.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
