Job Summary
This position is responsible for the receiving, shipping, inspection, verification, storage, control and distribution of all supplies, equipment, parcels, mail etc delivered to the organization or being shipped out of the organization. This position is also repsonsible for ensuring all receipts and shipments are documented within the Allscripts Pathways Materials Management system where required, all mail is stamped prior to shipping and all parcels are shipped using the most cost efficient method.
Skills & Abilities
- Minimum 2 years’ experience in computerized shipping/receiving is required
- Experience in a healthcare environment would be considered preferred
- Experience opperating a Lift Truck/Electornic Pallet Jack
- Demonstrated ability to communicate clearly in English, both verbally and in writing
- Demonstrated excellence in interpersonal and customer service skills
- Effective problem solving and critical thinking skills
- Proficiency with equipment, computers and software, including mail machine
- Very good physical health, as handling of heavy items is a daily requirement
- Ability to push and pull wheeled equipment and moveable carts
- Physical demands include:
- Able to lift, push and pull heavy loads (up to 60 lbs)
- Repetitive light and heavy lifting
- Extensive walking throughout the shift
- Frequent standing throughout the shift
- Product knowledge of medical surgical supplies preferred.
- Pleasant manner with neat appearance as patient interaction is a part of daily function
- Ability to prioritize workload with varying deliverables
- Ability to work both within a team and independently with minimal supervision
- Must maintain confidentiality pertaining to patients and staff
- Demonstrates understanding and complies with patient and staff safety policies and procedures that foster a safe and inclusive environment for all.

Primary Responsibilities
- Receive incoming shipments of various item
- Check incoming shipments against what was ordered
- Match goods received with packing slips to ensure the hospital is in receipt of goods ordered and that goods are accounted for
- Input all receipts and returns into Allscripts PMM and scan all packing slips of lading/courier way bills
- Receive, coordinate and make arrangements for shipments that are sensitive and/or required special attention
- Make note of shipments with highly sensitive times
- Identify problem/special shipments
- Contact end-users to obtain necessary information, inform end-users of package situation, make arrangements to expedite shipments
- Manage and process all out going mail using computerized mail stamping system
- Arrange for rush pick-ups and outgoing shipments utilizing most economical method
- Tag and chart all capital equipment
- Upload deliveries into tracking system
- Contact vendors/Plexxus to report receipt discrepancies
- Identify problem shipments and report them to Manager
- Contact couriers to ensure delivery times meet the hospital needs
- Work and communicate regularly with incoming vendors and couriers
- Use the PMM Purchasing Programme to find proper delivery locations
- Trouble shoot orders received without a PO to determine appropriate owner and paperwork
- Obtain signatures from end users upon delivery of goods/packages for tracking purposes
- Scan in Delivery Documents as proof of delivery (signature is required by receiving department)
- Responsible for international shipping (proper documents)
- Knowledge of dangerous drugs (cytotoxics, flammables, temerature controlled, etc) and handling procedures
- Responsible for mail machine, repairs, ensure there is enough postage, order supplies. Send reports of usage of postage to Finance
- Digitize all parcels with tracking numbers that are delivered to the departments/mail room
- Responsible to separate narcotics versus regular PO supplies for Pharmacy
- Staff Liaison to mail volunteers
- Perform other duties consistent with the Receiver function, including, answering phone calls, locking/closing Receiving Department and securing equipment in off hours
