About the role

Open Door Group (ODG), a trailblazing non-profit organization serving communities across Canada and is on the lookout for a passionate and dedicated People and Culture Administrator to join our innovative team.

Salary Range: $28.00 to $37.00 per hour, commensurate with experience and qualifications.

Hours of Work: 22 hours per week

Status: Exempt, Part-time, temporary to March 27, with a possibility of extension

Work Location: This position will be hybrid remote, with a primary work location of a home office. A secondary work location from our Open Door Group offices in Vancouver, Kamloops, or Sechelt may be assigned, based on where the successful candidate lives.

Your Role:

Under the direction of the Director of People & Culture, the People & Culture Administrator provides high-level administrative and logistical support to the HR Department.

This role demands a high level of reasoning, professionalism, discretion, and attention to detail. The P&C Administrator plays a critical role in ensuring the smooth and efficient handling of HR processes, including maintenance of employee records, employee change management coordination, benefits administration, and supporting general HR compliance in a confidential environment. The P&C Administrator is a key contact for general employee queries and supports the wider HR team in delivering high-quality, customer-focused, HR services across the organization.

Key Responsibilities:

Administrative Support

  • Handles general admin tasks like writing letters, updating procedures, and doing research.
  • Answers staff questions about HR policies and helps roll out new ones.
  • Takes meeting notes and shares them afterward.
  • Facilitates benefits paperwork, enrollments, and supports claims management administration.
  • Makes sure HR processes follow company policies and employment laws.
  • Prepares documents, reports, and presentations for HR projects.
  • Supports workplace health and safety (OHS) program tasks.
  • Books travel and submits expense claims.
  • Develops systems to improve communication and workflow systems.
  • Receives and distributes incoming HR correspondence.
  • Assists with other HR projects as needed.

Recruitment, Onboarding & Employee Experience

  • Supports the workflows during staff onboarding, job changes or departures.
  • Assists with hiring by posting jobs, booking interviews, and doing background checks.
  • Tracks employee programs and prepares reports.
  • Helps coordinate training and tracks who attends.
  • Supports HR projects and responds to general staff questions.
  • Assists with planning events and morale-boosting activities.
  • Manages the return of company property when employees leave.

Systems, Reporting & HRIS Administration

  • Keeps employee records up to date (employment contracts, benefits, reviews, etc.).
  • Maintains the HR system (HRIS) and ensures data is accurate.
  • Works with Payroll to process changes like new roles or benefit updates.
  • Prepares HR reports for both internal and external use.
  • Uses AI tools to boost efficiency and support data-based decisions.
  • Maintains content on the HR SharePoint site.

What you bring to the position:

Qualifications:

  • Diploma in a related discipline, such as Business Administration, Human Resources OR an equivalent combination of education and experience
  • A demonstrated commitment to Open Door Groups Values of Customer Experience, Impact through Results, and Accessibility, Equity, Diversity and Inclusion
  • Must provide a satisfactory criminal background check.

Experience

  • Previous applicable experience (2-3 years) with a preference for experience in dynamic administrative support roles
  • Experience with HRIS (Human Resources Information Systems) is preferred.

Skills

  • Demonstrated ability to respond and react to changing priorities; adaptability and flexibility.
  • Demonstrated ability to write clear and concise copy and reports.
  • Detail oriented with a high level of accuracy in data management
  • Demonstrated critical thinking skills and ability to identify and resolve issues independently
  • Strong communication, interpersonal and influencing skills, both with internal colleagues and external stakeholders.
  • Project coordination skills
  • Experience using AI tools to automate workflows or improve productivity
  • High standards of integrity and a demonstrated ability to maintain the confidentiality of sensitive employee information
  • Proficiency in MS Office and an aptitude for systems and software
  • Ability to handle sensitive and complex situations with sound judgment, tact, discretion and confidentiality
  • Strong administrative and organizational skills; effective time management.
  • Personal resilience and the capacity to work effectively and stay calm under pressure are essential
  • Experience working in a unionized environment is considered an asset.
