Our state-of-the-art, multi-modality clinics are expanding, and we're looking for a passionate and dedicated casual Medical Office Assistant to join our team. As a casual Medical Office Assistant, you’ll be the welcoming face of our clinics, ensuring patients feel at ease from the moment they arrive. Your responsibilities will include managing phone calls and emails, scheduling appointments for diagnostic imaging (such as ultrasounds, X-rays, pain management, mammograms, and BMD), and helping patients prepare for their procedures. You’ll play a key role in maintaining accurate electronic medical records and you will collaborate with our skilled technologists and radiologists to ensure seamless patient flow.

What You’ll Be Doing

  • Greet and check in patients, providing a warm and welcoming environment.
  • Manage incoming phone calls, emails, and patient inquiries, including booking, rescheduling, and general information requests.
  • Schedule and coordinate diagnostic imaging appointments (e.g., ultrasound, X-ray, pain management, mammograms, and BMD), ensuring accurate referrals and smooth patient flow.
  • Assist patients with pre-exam instructions and ensure they are prepared for procedures.
  • Collaborate with technologists and radiologists to ensure timely patient procedures and accurate reporting.
  • Maintain office organization, manage supplies, and perform clerical tasks such as faxing, scanning, and filing.
  • Address and resolve any unexpected issues with professionalism and efficiency.

What We’re Looking For

  • Formal training in Medical Office Administration is required with one year’s experience preferred.
  • A willingness to learn and train in Special Spine is required.
  • Creative problem solving to provide exceptional patient care.
  • Demonstrated proficiency using multiple software applications including Microsoft Office, and Netcare.
  • Effective communication and teamwork with multi-disciplinary team.
  • Thrives in a busy clinic environment utilizing multitasking skills.
  • Desire for continuous learning to enhance skills and experience.
  • Ability to promote and support effective communication and collaboration.
  • Dedication to maintaining high quality and integrity.
  • Strong commitment to health and safety standards.

Notes

  • This is a casual position, and the successful candidate will be expected to work at 6 clinics in Edmonton and 1 clinic in Sherwood Park.
  • A commitment to 4 consecutive weeks of training is required.
  • The successful candidate must be available for shifts between 7:15 am and 4:45 pm, Monday through Friday.
