Reports to: Executive Director

We are requesting proposals from bookkeepers to provide bookkeeping services for the Capilano Students’ Union, including reconciling the general ledger, allocating and posting payroll journal entries, preparing and maintaining monthly bank reconciliations, and preparing periodic financial reports. The bookkeeper is accountable to the executive director for services provided. This is a short-term contract to cover bookkeeping during a leave of absence.

This is an independent contractor engagement. The successful candidate will not have income tax, CPP, or EI deductions withheld at source and is responsible for making all required remittances. The contractor will determine how and when the work is performed, provide their own tools and equipment, and maintain all necessary insurance (including WorkSafeBC coverage if applicable). Please include your proposed monthly fee structure for the requested services in your proposal.

Duties

In particular, the bookkeeper provides the following services:

  • Maintains and reconciles the general ledger every week (about 7,000 transactions per year).

  • Accurately allocate and post payroll journal entries across multiple funds (about 20 employees and about 28 elected officials, with some employees’ pay distributed across multiple distinct funds).

  • Ensures proper revenue recognition under the accrual basis, especially with regard to the timing and deferral of restricted contributions.

  • Tracks and manages balances for nine distinct funds, ensuring transactions and adjustments are correctly allocated.

  • Prepares and maintains monthly bank reconciliations.

  • Prepares periodic financial reports (e.g., the statement of financial position and statement of operations), adjusted to show fund-specific balances.

  • Identifies and resolves discrepancies promptly, ensuring compliance with internal policies and identifying issues for the executive director’s attention.

  • Assists the executive director with bookkeeping required for the annual audit.

  • Providing reasonable availability for occasional meetings with the executive director during business hours (Monday to Friday, 9am–5pm).

  • Perform other bookkeeping duties as requested by the executive director.

Other Duties

  • Works safely, in accordance with our health and safety program.

  • Protects the personal information of coworkers, students, and the public.

  • Perform other duties as assigned by the elections administrator.

Qualifications

  • Minimum five years of bookkeeping experience, preferably with non-profits.

  • Demonstrated experience with fund accounting and accrual-based reporting.

  • Proficiency in Xero.

  • Experience in bookkeeping with restricted and unrestricted funds.

  • Strong understanding of deferral and recognition of contribution income.

  • Strong understanding of payroll allocations across departments or funds.

  • Ability to produce adjusted financial statements reflecting fund balances.

  • Knowledge of CRA compliance requirements for non-profits is an asset.

  • Excellent attention to detail and ability to work independently.

  • Strong communication skills working with non-financial stakeholders.

The CSU delivers services, social and recreational events, campaigns, and advocacy to improve our members' post-secondary educational experiences and to defend and advocate for their interests. The CSU lobbies the university administration, as well as federal, provincial, and municipal governments on student issues.
