Job Description
Osler together with Trillium Health Partners and Halton Healthcare Services own and operate Shared Services West Regional Materials Management (SSW). The Purchasing Clerk will report to the Manager, Corporate Finance and Reporting, and will be responsible for daily ordering of goods and services for hospital clients and serves as a liaison between the vendors and hospital end-users. The Purchasing Clerk will ensure procurement activities are managed in a professional, client service oriented and cost effective manner, while maintaining compliance with the broader public sector directives through Osler's procurement policies. This role works closely with and takes direction from the purchasing coordinator at SSW.
Accountabilities:

Process purchase orders from a purchase requisition while maintaining high attention to detail and accuracy

Expedite follow-up on orders with vendors and hospital end users
-
Provides excellent customer service to hospital end users, vendors and other internal and external stakeholders using appropriate communication methods to respond in a timely, helpful and courteous manner

Action purchase order acknowledgement exceptions and assist with three-way match exceptions by liaising with end users, accounts payable, receiving and suppliers to resolve discrepancies

Assist hospital end users with finding suppliers or products
-
Assist with the return of goods to the supplier and from recall processes
-
Resolving hold of payment or shipment issues with suppliers by working closely with accounts payable and suppliers

Ensure compliance with Osler's sourcing, procurement and purchasing policies, including adhering to approved procurement practices

Completion of the CARD process on behalf of hospital end users
-
Assist with Meditech materials management training and education for end users
-
Promotes knowledge sharing and continuous learning within the team
-
Cross trains team mates as required and coverage of sites as per operational requirements
-
Exercise discretion and confidentiality when dealing with vendors and suppliers
-
Assignment of additional projects/duties from time to time as required
Qualifications
-
Two years of experience working within a corporate level purchasing department or finance experience in a computerized setting required
-
Completion of a post-secondary education in a related field of study in supply chain management or business administration diploma or certificate
-
Member of Purchasing Management Association of Canada (Level 2 would be an asset)
-
Ability to work in a fast paced environment, with superior organizational skills to handle large volumes of time sensitive requests, ability to prioritize and attention to detail
-
Enthusiastic, positive, solutions-focused with a 'can do' attitude, able to work independently and in a team
-
Previous experience and knowledge of Meditech materials management module experience would be an asset

Applies professional judgment and problem-solving skills to identify issues and deficiencies, resolve basic issues to client's satisfaction and escalate appropriate matters

Excellent attendance, punctuality and work record

Must be able to accomplish tasks within strict deadline

Excellent analytical skills and communication skills both written and oral

Excellent customer service track-record

Excellent knowledge of Microsoft Office programs including Excel

Able to accommodate travel between all Osler sites and SSW
-

Additional Information
Hours: Currently days (subject to change in accordance with operational requirements)
Hybrid: Roles that function remotely, but require essential, regular onsite weekly work
Salary:
Minimum: $24.72 hourly
Maximum: $26.89 hourly
