About the role

Robert Half is currently searching for a dedicated and detail-oriented Family Office Bookkeeper to join their client’s dynamic team. As the Bookkeeper, you will manage the administrative, financial, and bookkeeping functions for a foundation, small charity, corporate entities, trusts, and personal financial matters. This is a highly varied role suited for a skilled individual with strong organizational and multitasking abilities.

*Must have experience within a Family Office environment and have an understanding of investment accounting. This is a part-time position.

This role requires you to support the financial management of high-net-worth individuals including overseeing the full spectrum of personal and investment-related financial affairs, ensuring seamless coordination across accounting, legal, and estate planning matters.

Key Responsibilities:

  • Investment Tracking:
  • Maintain accurate records of investment portfolios including stocks, real estate holdings, private equity, and other alternative assets.
  • Cash Flow & Expense Management:
  • Monitor and manage day-to-day cash flow, personal and household expenses, and large capital expenditures.
  • Financial Reporting:
  • Prepare regular financial statements and customized reports for family members and stakeholders.
  • Tax Compliance & Planning:
  • Coordinate tax filings and work closely with external advisors on tax strategy, compliance, and optimization.

Foundation Administration

• Oversee investment management with third-party service providers.

• Manage cashflow for various funds and activities.

• Perform investment accounting and liaise with fund managers.

• Handle donation management and maintain accurate records.

• Conduct day-to-day bookkeeping and prepare for annual audits.

• File statutory reporting, including annual charity returns to the CRA.

• Manage disbursement quotas and ensure compliance.

Charity Administration

• Manage website, donations, and issuance of tax receipts.

• Identify funding projects and prepare necessary reports.

• Oversee cashflow, daily bookkeeping, and annual audits.

• File statutory reporting, including charity returns with the CRA and corporate returns with the Ministry of Finance.

• Handle email communication, newsletters, and donor interactions.

• Manage disbursement quotas to maintain compliance.

Corporate Bookkeeping

• Daily bookkeeping tasks for Investment Company A & B.

• Perform monthly bank reconciliations and year-end financial statement preparation.

• Liaise with tax service providers to file corporate tax and HST returns.

• Manage cashflow and investments with third-party providers.

• Handle CRA filings (e.g., T5, HST) and address CRA reviews or inquiries.

• Complete reports for Statistics Canada requirements.

Trust & Personal Tax

• Assist with personal tax returns in collaboration with external providers (e.g., EY).

• Gather, organize, and transmit tax documents, ensuring compliance.

• Respond to tax queries, CRA reviews, and file adjustments, as necessary.

• File and pay personal HST returns.

• Monitor tax instalments and manage family members' notices of assessment.

Personal Treasury Management

• Process personal expense reimbursements and household financial tasks.

• Manage investments, shareholder loan balances, and disbursement tracking.

• Reconcile household and trust-related bank accounts.

• Support with occasional administrative tasks (e.g., travel arrangements).

• Handle documentation for personal donations and trust matters.

• Oversee household bill payments for properties, loans, and other expenditures.

Qualifications & Skills

• Proven experience in accounting, administration, foundation/charity management, or a similar field.

• Strong proficiency in bookkeeping software and financial tools.

• Knowledge of CRA filing requirements for charities, trusts, and personal taxes is essential.

• Exceptional attention to detail with strong organizational skills.

• Ability to manage multiple tasks and communicate effectively.

• Familiarity with personal assistant tasks and documentation management is an asset.
