About the role

Job Summary

Reporting to the Executive Assistant, the Administrative Assistant is a key member of the Secretary-Treasurer’s Department, providing confidential administrative support services to both the department and the Board of Education. This full-time position is based at the district education centre and not at a school. After-hours work is required for attendance at board and committee meetings. Public Board meetings take place once a month in the evenings, and committee meetings may be scheduled after 4pm.

Responsibilities

  • Work closely with the Executive Assistant to prepare all board-related materials and manage meetings.
  • Prepare board/committee packages, reports, correspondence, and presentations.
  • Attend board meetings (monthly, evenings) and staff meetings to take minutes, transcribe, and distribute meeting documentation to stakeholders.
  • Coordinate multiple calendars, maintain records, make travel arrangements, and complete expense claims.
  • Undertake minor project work as directed by the Executive Assistant.
  • Perform general administrative and clerical duties.
  • Provide direct support to executives and the Board of Education in the absence of the Executive Assistant.

QUALIFICATIONS

Education & Experience

  • Diploma in Office Administration or equivalent with a minimum of five years’ administrative work experience at a senior leadership level. An equivalent combination of education and experience will be considered.
  • Experience working with elected officials and/or public or private boards is considered an asset

Knowledge, Skills, Abilities

  • High level of expertise in all areas of office practice and procedures.
  • Ability to work independently and prioritize time-sensitive projects while maintaining discretion and diplomacy.
  • Strong interpersonal, verbal and written communication skills with the ability to work effectively with employees at all levels.
  • Proficiency in Windows, MS Office Suite, and Adobe Acrobat.

  • Sound judgement, tact, and discretion.

The salary range for this position is $66,140 - $82,675 per year with comprehensive benefits package and Municipal Pension.

Placement in the salary range is determined by an assessment of qualifications and ability to meet the key requirements of the job, and consideration of internal equity comparisons. The midpoint of the range represents an employee that possesses full job knowledge, qualifications, and experience for the position.
