As the Event Planner, you will play a central role in planning and executing company-wide events that connect and celebrate our employees and customers.
Your primary responsibility will be to plan, coordinate and execute all company-wide events, with a focus on improving employee experience (All Hands, DEI, People Manager Forum) initiatives. To deliver each event, you will lead a cross-functional team of stakeholders while managing logistics, budgets, team collaboration, communication, and post-event follow-up to ensure the goals of the event are successfully met.
This is a 18 months Fixed Term Employment Key Accountabilities:
- Develop and maintain an annual events calendar, including key DEI initiatives (e.g., Chinese New Year, Black History Month, Pride).
- Plan, coordinate, and execute events from start to finish, including logistics, operations, on-site support, and event analytics and success.
- Manage event budgets, ensuring cost-effective delivery while maintaining high-quality experiences.
- Manage event documentation, license applications and approvals, and reporting.
- Handle purchase requisitions (PRs) and purchase orders (POs) for event-related expenses, ensuring timely approvals and payments.
- Liaise with external vendors and partners, negotiating contracts and overseeing services such as venue setup, catering, and audiovisual needs.
- Build and maintain relationships with key stakeholders, including sponsors, partners, and vendors, to ensure long-term collaboration and support for events.
- Source, manage, and distribute branded merchandise for events.
- Collect and analyze feedback from event attendees, stakeholders, and vendors to measure event success and identify areas for improvement.
- Prepare detailed post-event reports, including key performance indicators (KPIs) such as attendance, engagement, and budget performance.
- Provide administrative support to the Executive Office, assisting with event tasks as needed.
- Support the Communications and Marketing team with research, writing, and design tasks related to event promotion and branding.
Key Requirements:
- Strong organizational and time management skills, with the ability to juggle multiple projects and deadlines simultaneously.
- Excellent communication and interpersonal skills, with the ability to liaise across teams, departments, and levels of management.
- Creative problem-solving skills and a passion for producing innovative event concepts.
- Enthusiastic, energetic, and solutions-focused, with a commitment to creating impactful and memorable experiences.
- Meticulous attention to detail and a proactive approach to troubleshooting event-related challenges.
- Experience managing procurement processes is preferred.
- Analytical mindset with the ability to interpret data and use insights to drive improvements.
- Proficient with English language.
Preferred Qualifications:
- Bachelor’s degree in Event Management, Marketing, Communications, or a related field (preferred).
- Minimum 5-7 years of experience in event planning, coordination, or a related role.
