Key Responsibilities

To answer all incoming calls, and respond to caller's inquiries in a positive, professional manner ;

To redirect calls as appropriate and take clear, concise messages when required;

To greet, assist and direct all visitors;
-
To pick up and sort internal mail;
-
To stamp, deliver and maintain mail machine for external mail;
-
To prepare packages and arrange courier pick up;
-
To arrange meeting room schedule and bookings;
-
To update phone and distribution lists;
-
To maintain a clean, safe, fully stocked and well organized reception area;
-
To assist with small projects as required by other administrative support (i.e. labels, bulk mailing, etc.);
-
Monitor front door for residents at risk to elope
-
Handle payments and trust deposits from families, issue receipts
-
To complete other duties as assigned;
QUALIFICATIONS: Applicants must possess:
- Post secondary diploma /certificate in Office or Business administration (or comparable) preferred
- Excellent interpersonal, communication and organizational skills
· Knowledge and experience in: · Standard office practices · use of office equipment, · computer fundamentals and software
· Proficiency in Word and Excel is a requirement ·
- Ability to read and write English as well as to understand complex verbal and written instructions in English
- Demonstrated competencies in planning, time management, ability to determine the priorities of duties and tasks and to be self directed in their completion
