About the role
Job Description As an Executive Assistant, Supply Chain, you will be responsible for coordinating all administrative aspects of the Supply Chain Department in support of the management team’s day-to-day activities (directors and VPs).
More Specifically, You Will
- Manage communications with suppliers by responding to emails received in a shared mailbox.
- Maintain the supplier log for all non-active suppliers who are interested in doing business with Davie.
- Manage the active supplier database by updating records when changes are communicated to the Supply Chain Department (e.g., legal name, bank account information, address).
- Ensure that approved annual budgets are monitored and report any discrepancies (forecast vs. actual) to directors and VPs.
- Manage corporate credit card expenses reconciliation and office supply requests and receipts.
- Coordinate the scheduling of on-site visits and presentations at Davie for management and procurement teams (RFP-related), liaising with security, internal stakeholders, and other relevant teams.
- Oversee onboarding activities for new employees, including office and desk setup, IT equipment requests, building access, and other onboarding aspects.
- Provide support with various administrative tasks related to the procurement process, including reviewing and formatting final documents (the content remains the responsibility of procurement specialists).
- Provide layout and grammatical revision support for various documents.
- Prepare and coordinate project-related documentation, such as contracts, agreements, purchase orders, action lists, and meeting minutes.
- Develop PowerPoint presentations to support recurring meetings.
- Perform any other tasks required by the supply chain management team to support the department’s efficiency.
- Manage the agenda, appointments, and calls of the Vice-President, Supply Chain.
- Organize travel and accommodations, as needed.
- Perform any other related tasks as requested by your immediate supervisor.
Qualifications
- Degree in Secretarial Studies or Business Administration or a related field is an asset.
- Minimum of five (5) years’ relevant experience in a similar or related position, preferably in a supply chain or procurement environment.
- Bilingualism is essential.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in the Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Attention to detail and accuracy.
- Familiarity with supply chain management software and databases.
- Ability to work independently and collaboratively.
- Client-focused mindset with a commitment to service excellence.
- Ability to handle confidential information with discretion.
- Strong problem-solving skills and the ability to propose and implement effective solutions.
- Flexibility to adapt to changing priorities and deadlines.
- To be selected, you must undergo and successfully complete the investigation and security clearance process required by the federal government’s Contract Security Program.
