Accounts Payable Supervisor

About the role

Accounts Payable:

  • Leverage automated tools and systems (SutiAP) to accurately enter invoices into NetSuite and ensure proper coding to general ledger accounts.
  • Verify that invoices automatically matched with purchase orders and receipts to ensure correct coding and proper authorization.
  • Forecasts and coordinates semi-monthly vendor and tax payment processing, ensures related postings are completed in Netsuite, and communicates payment details to vendors.
  • Records prepayments and performs monthly analysis of related accounts including Credit card statements and accruals.
  • Respond to all accounts payable and procurement inquiries via email and phone, resolving any issues or questions.
  • Maintain digital and physical records of all accounts payable transactions, supporting documents.
  • Assist with year-end and month-end closing activities for accounts payable, including performing reconciliations.

Procurement:

  • Creates and/or reviews purchase orders for chemicals, raw materials, and consumables, ensuring timely issuance and monitoring delivery schedules.
  • Maintain up-to-date vendor accounts, price lists, and minimum order quantities (MOQs).
  • Gathers and evaluates terms and conditions for purchases, ensuring alignment with company policies and guidelines.

Others

  • Comply with all WHIMIS and Health and Safety requirements.
  • Adheres to Good Manufacturing (GMP) and Good Documentation (GDP) practices.
  • Attends all required in-house and off-site training, ensuring all required certification/credentials are up to date
  • Perform other duties as assigned.

Knowledge and Skills:

·        Exceptional written and verbal communication skills in English.

·        Strong understanding of accounting processes, including invoice processing and three-way matching.

·        Excellent interpersonal skills and the ability to work effectively within a team.

·        Strong attention to detail, organizational skills, ability to manage multiple tasks while prioritizing

effectively.

·        Excellent analytical and problem-solving skills.

·        Ability to work independently with minimal supervision.

·        Ability to plan manage time and meet tight deadlines.

Equipment/Technology

·        Proficiency in Microsoft Office Suite (Excel, Word, Outlook)

· Experience with ERP systems (experience with NetSuite will be an asset)

Experience/Education/Qualifications/Certifications:

·        Proven experience in accounts payable, procurement, or a similar administrative role, preferably in an

automated environment.

· Previous experience with cosmetic/chemical manufacturing an asset.
