About the role

Are you an organizational wizard who thrives in a fast-paced environment? At CW Kitchens, we’re looking for a Scheduling Coordinator to be the backbone of our operations, ensuring every customer receives exceptional service by coordinating the critical steps of kitchen delivery and installation.

As a Scheduling Coordinator, you’ll be the key point of contact for customers, drivers, and installation teams, using technology to keep our schedule running smoothly and on time. Your ability to manage details and stay ahead of potential conflicts will directly impact our success in delivering high-quality kitchens to satisfied customers.

Responsibilities

  • Book and Confirm Appointments: Coordinate kitchen delivery and installation dates with customers, balancing customer preferences with operational timelines.
  • Collaborate with Teams: Work closely with project managers, production teams, and installers to ensure schedules align with production completion dates.
  • Manage Schedules: Maintain an accurate, up-to-date schedule using scheduling software, ensuring all appointments are logged, confirmed, and communicated effectively.
  • Optimize Routes: Plan delivery and installation routes to maximize efficiency and minimize travel time for installation teams.
  • Proactively Address Conflicts: Identify and resolve scheduling conflicts by troubleshooting and finding practical solutions to meet customer and operational needs.
  • Customer Communication: Serve as the primary point of contact for customers regarding delivery and installation logistics, providing updates and support as needed.
  • Utilize Technology: Leverage scheduling tools and ERP systems to streamline processes, improve workflows, and enhance communication between teams.

Qualifications

  • Experience in scheduling, logistics coordination, or a similar administrative role.
  • Strong interpersonal skills with a customer-focused approach to communication.
  • Exceptional organizational skills and attention to detail, ensuring no appointment is overlooked.
  • Proficiency with scheduling software and ERP systems (familiarity with Spire ERP is an asset).
  • Ability to think critically and solve problems, especially under time constraints.
  • Comfortable working with technology and learning new tools to improve efficiency.
  • Team-oriented with the ability to work collaboratively across multiple departments.
