Position Title
Systems and Information Coordinator
Position Summary
The Systems and Information Coordinator leads data management systems and online fundraising platforms for institutional fundraising and constituent relationship management. Responsibilities include system configuration, data analysis, report creation, policy development, training, troubleshooting, and maintaining online fundraising presence. Ensures database reliability, accuracy, accessibility, and strategic alignment with revenue generation and constituent engagement goals.
Position Responsibilities
Systems Optimization:
- Analyzes departmental projects and objectives and engages with data stakeholders to identify opportunities to optimize systems and integrated online environment
- Provides advice, analysis and solutions to optimize technology and employ industry best practice
- Researches, recommends, negotiates, and manages projects related to system enhancements and upgrades
Data Maintenance and Security:
- Coordinates scheduled and ad hoc data validation and maintenance
- Analyzes and redefines system coding to ensure reporting aligns with KPIs and institutional revenue reporting requirements
- Manages 3rd party relationships with system vendors and consultants
- Assesses user group access needs; defines and maintains security framework and conducts system audits
- Responsible for adhering to institutional and data governance policies
Reporting and Analytics:
- Creates and deploys scheduled and ad hoc queries, reports, imports and exports, dashboards, visualizations, analytics and data presentations
- Utilizes advanced Excel skills to segment, manipulate, analyze and benchmark data
Online Environment:
- Creates and maintains RDP’s online fundraising and event registration presence; ensures accuracy, accessibility and integration with RE NXT
- Supports the creation and maintenance of mass email distribution via RE NXT
- Provides timely troubleshooting of user issues and transaction errors
- Complies with PCI DSS, FOIP and CASL guidelines
Training and Procedures:
- Creates and maintains relevant policy and procedure manuals and related training documents and videos
- Creates and facilitates customized training sessions related to data management policies, processes and industry best practices
- Creates and maintains a Sharepoint site that serves as a centralized knowledgebase of training materials, policies, forms and system project resources
- Ensures that all users are capable, confident and empowered to access the information they need, and to positively contribute to data accuracy, relevancy and overall database integrity
Partnerships and Integration

Ensures strategic, accurate and timely integration with RDP’s Banner system

Liaises with internal departments to develop export/import mapping structure and processes for cross-divisional data interchanges

Develops a comprehensive understanding of each individual user’s role as it relates to information access and usage; ensures collaborative and consistent data management by all users
Required Qualifications
-
Two (2) years of post-secondary training, completion of a community college certificate including trades apprenticeships or equivalent.

Three to five years of related experience

Blackbaud Fundamentals Certification an asset
Preferred Qualifications
-
Four (4) year undergraduate degree, or three (3) year undergraduate degree plus one full additional year of university in a related program representing four years of study or equivalent.

Relational database expertise, preferably Blackbaud’s Raiser’s Edge NXT, with proven experience in database view, webview, NetCommunity and Online Express; including the ability to create, maintain and troubleshoot webpages

Working knowledge of current industry standard processes and policies for information management

Proficient in Office 365 products; extensive Microsoft Excel and Word knowledge, with experience related to data manipulation, analysis, and visualization

Proficient in analytical, organizational and time management skills to complete work with accuracy and attention to detail

Proven ability to work as an effective team member with others from across the organization

Demonstrated collaborative approach that values open and honest communication, integrity, respect, consistency, and fairness

Ability to work autonomously, adapt to multiple competing priorities and work with multiple stakeholders to deliver results on time

Additional time off due to Institution closures between Christmas and New Year general holidays.*Eligibility to access the above mentioned benefits dependent upon the AUPE Collective Agreement and related RDP policies.
