General Description:
Responsible for supporting maintenance, organization, and disposition of physical library materials. Carries out projects related to withdrawal, storage, and shifting to create space for new acquisitions and support changes to collections footprint. Locates, creates, revises, and/or deletes bibliographic and other records (e.g., holdings, items) as required to ensure accurate representation of physical holdings. Requires a thorough knowledge of library policies, procedures, and systems.
Representative Duties & Responsibilities:
- Sort, shelve, and retrieve library materials, maintaining the condition of physical library collections in a variety of formats. Ensure that library materials are shelved in the correct location and the proper sequence to provide access for library users. Identify and correct shelving errors as necessary.
- Direct the work of casual employees in shelving and maintaining the organization and appearance of physical library collections.
- Conduct periodic shelf-reading to systematically review the library’s physical collections, ensuring materials are in the correct location and proper call number sequence. Identify and correct errors, re-sorting and reshelving materials as necessary. Identify any materials in poor physical condition.
- Carry out physical collection shifting in library stacks, ensuring materials are moved to the correct locations and are in the proper call number order, dismantling and erecting shelving and equipment, as required.
- Provide recommendations to Head, Access Services on space planning and shifting projects.
- Update stacks wayfinding systems, including physical signage and online information.
- Working from provided lists, retrieve, sort, and package items for withdrawal or transfer to storage facilities.
- Working from provided lists, interpret bibliographic information to determine holdings of partner libraries, update spreadsheets, and reconcile information between physical items and catalogue records.
- Gather, input, update, and search information in spreadsheets related to library physical collections.
- Locate, create, revise, and/or delete bibliographic and other records (e.g., holdings, items), working with established processes and systems (e.g., OCLC WorldCat, Ex Libris Alma, or similar tools).
- Collect information and implement special projects related to the physical collection (e.g., mapping and measuring stacks, relocating physical collections, bibliographic searching, creating item records).
- Process and package outgoing Interlibrary Loans using various online shipping tools.
- Receive and sort incoming Interlibrary Loans and University mail.
- Compose correspondence to communicate with users, faculty, and staff, as well as local, national, and international institutions and shipping companies in follow up on information and mail tracking requests.
- Adapt to changes to library technology and knowledge bases.
- Report building maintenance problems.
- Assist with facilities projects as needed.
- Maintain First Aid qualification.
Supervision:
- Ensure adherence to quality standards and procedures for short-term employees.
- Provide functional guidance to short-term employees in carrying out tasks.
- Provide orientation and show procedures to others.
Qualifications:
- 2-year Community College diploma in Library and Information Technology or related field.
- Requires 1 year of relevant experience.
