We are seeking an Administrative Assistant to join ourteam in our Toronto office.

The Administrative Assistant provides high quality administrative support to specific groups within the firm. Tasks include managing schedules and workflow, setting up meetings and responding to queries providing excellent client service while acting as a liaison and first point of contact facilitating the efficient operation of the department. Preparation of presentations, documents and other reports. Files and organizes documents, such as emails, reports, and other administrative records. The Administrative Assistant actively participates in various departmental meetings, initiatives and projects.

To be successful in this role, it is essential to demonstrate exceptional organizational, time management and communication skills. This position requires high levels of initiative, flexibility, responsiveness and great attention to detail. The successful incumbent will have a proven track record of maintaining confidentiality handling sensitive information and the ability to work with diplomacy, tact and a sense of urgency. Being a contributing team member is essential along with work hour flexibility to accommodate business needs.

Key Responsibilities:

  • Performs administrative support with tasks such as:
    • proofreading, transcription of short dictation or handwritten information, editing documents, scanning and printing;
    • sorting and handling mail and preparing letters to clients, forwarding mail, handling phone calls with internal and/or external parties;
    • coordinating marketing and business development needs with respective parties/departments;
    • updating/maintaining contacts in Interaction; and
    • attending to conference registration and related arrangements.
  • Manages schedules and calendar of department leaders including:
    • scheduling internal and external meetings and calls;
    • making reservations and travel arrangements;
    • boardroom bookings and/or ordering catering, prepare agendas, itineraries and materials, etc.
  • Provides administrative support with accounting related tasks, including:
    • preparing expense requisitions and cheque requisitions;
    • attending to business development processing approvals, etc.;
    • coordinating financial transactions with accounting department; and
    • coordinating wire transfers and sending of large cheques.

Responds to general client inquires, filter incoming calls/mail/email and follow-up on various information requests, including responding to client queries, and rerouting responses appropriate to ensure high level of client service and responsiveness.

  • Organizes own work, set priorities, work independently on a day-to-day basis, meeting critical deadline and balance multiple objectives.

What you'll bring:

  • Highly proficient using MS Office Suite,
  • Exceptional oral and written communication skills and excels in relating with others,
  • Demonstrated ability to manage high-level travel arrangements and Outlook calendar updates, including multiple international time zones,
  • Extreme attention to detail and careful time management,
  • Proven ability to organize, prioritize, multi-task, drive tasks to completion and change priorities with minimal supervision,
  • Ability to thrive in a fast-paced and dynamic work environment,
  • Proven ability to work in a team environment,
  • Manage confidentiality in a highly professional manner,
  • Ability to work independently, follow instructions with minimal supervision and take initiative,
  • Excellent multi-tasking skills,
  • Positive attitude and detail-oriented,
  • Problem-solving with minimal supervision.
