Job Summary
Reporting to the SW Associate Director, Operations, and working from the Student Wellness Centre and the Multifaith Centre, the SW Administrative Assistant provides global administrative support to all areas of Student Wellness. The SW Administrative Assistant contributes to a collaborative team environment and has primary functions in student reception, appointment scheduling, student information management and clinician and Spiritual Care Provider support. Supporting a variety of wellness providers, duties include managing space bookings in two buildings, managing schedules and calendars of SW leadership, events and itineraries, ordering supplies, creating surveys and other duties as assigned. The incumbent is the first point of contact for students and visitors to the Student Wellness Centre and Multifaith Centre providing resources and direction to services. Comfort working in an environment alone for long stretches each day if essential.
Job Requirements
Medical Office Assistant Certification or a minimum of 3 years of equivalent work experience in office administration in a counselling, health or wellness discipline.
Experience:
- This position requires a level of education, training, and experience equivalent to 3 years’ experience working within a multi-faceted customer service office environment, experience working with a young adult population and in a post-secondary educational environment.
- Demonstrated experience providing administrative support to projects.
- Experience working with UVic systems ie. FAST Student, Banner, FMIS
Knowledge/Skills/Abilities:
- Commitment to valuing diversity and contributing to an inclusive and respectful working and learning environment.
- Ability to prioritize and manage time and tasks with attention to detail.
- Ability to problem solve by using judgement, independent thinking and/or analysis.
- Ability to interpret policies and procedures.
- Ability to communicate effectively with individuals from diverse backgrounds and tailor communication style for different audiences.
- Experience composing various business communications such as emails and reports.
- Experience scheduling meetings and calendar coordination.
- Experience in maintaining confidential and sensitive information.
- Experience with pre-planning and recording meetings.
- Experience with event planning and coordination.
- Proficiency with computer applications (i.e., MS-Office Suite, Adobe Create Suite, content management systems).
- Experience with specialized student record management systems and scheduling software.
- Flexibility in adapting to changing work priorities, and frequent interruptions.
- Familiarity with UVic students services and programs
- An understanding of student development theory
Specialized Knowledge/Education:
- An understanding of faith and spirituality, and related terminology
