About the role
Purpose Of Position Provide and coordinate support for Flight Operations, Inflight Services Management and operating crews on an ongoing basis.
Key Activities
- Maintain Pilot and Flight Attendant Absence Reports and provide updates to Base/Assistant Chief Pilots, Inflight Regional Manager as well as Inflight Managers.
- Review letters for the AWP (Attendance Wellness Program) program, meet with Chief Pilot, Inflight Regional Manager and/or Inflight Managers to allocate letters.
- Maintain Pilot and Flight Attendant Probation database and coordinate distribution of probation letters.
- Maintain, purchase and distribute uniform pieces (epaulettes, wings, safety vest etc.).
- Act as liaison between Pilot(s)/Flight Attendant(s) and the company regarding the repair of headsets and luggage.
- Coordinate with Flight Standards & Training Admin regarding distribution of training/Jeppesens/company manuals for pilots' returning to work.
- Coordinate with terminating pilots ensuring all company property is returned.
- Coordinate and authorize Airport Security Pass documentation.
- Ensure crew rooms are stocked and tidy at all times.
- Maintain distribution bins and Pilot/Flight Attendant mail folders in crew room.
- Update dept library of COM, AOM's and Jeppesen's with revisions/bulletins/amendments.
- Responsible for ordering supplies for the department.
- Maintain office equipment.
- Responsible for coding, signing and forwarding all department invoices and expenses to Accounts Payable (up to $1000).
- Act as liaison between Account payable and pilot for etrip concerns / and follow-up.
- Responsible for coding and forwarding to appropriate designate, those invoices & expenses in excess of $1000.
- Coordinate, track and distribute parking passes and access keys.
- Act as the 'point person' for all Pilot/Flight Attendant inquiries and ensure prompt, accurate follow up via email/phone/in person.
- Contact Pilots/Flight Attendant(s) whose medicals and/or passports are due or overdue.
- Forward training records, medicals and passports to Crew Records.
- Follow up on and correct rejected US per diem account information.
- Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of co-workers and customers.
- Other related duties as assigned.
Qualifications
- Applicants for this position must have a minimum Grade 12 education.
- The ideal candidate will have 2-3 years office administration experience and possess a Certificate/Diploma in Office Administration.
- The successful candidate must possess excellent problem solving and organizational skills and have the ability to work well under pressure, meet deadlines and work with minimum supervision.
- This position demands meticulous work standards and exemplary interpersonal skills.
- The incumbent will have a high degree of expertise using all Microsoft Office products.
- Candidate must possess excellent communication skills, both written and oral.
- Bilingualism (English and French) is a requirement at bases in the province of Quebec.

About Jazz Aviation LP
Jazz has a strong history in Canadian aviation with its roots going back to the 1930s. We operate more flights and fly to more Canadian destinations than any other carrier. We are the only airline serving 10 provinces and 2 territories. As an integral part of Air Canada’s strategy and North American market presence, Jazz provides service to and from many smaller communities in Canada and the United States under the brand name Air Canada Express. As well, we operate to larger centres at off-peak times as a complement to Air Canada’s schedule.
Jazz is not a typical airline. We have a commercial agreement with Air Canada that is the core of our business. Under the Capacity Purchase Agreement (CPA), Air Canada purchases substantially all of Jazz’s seat capacity based on predetermined rates. In reality, we are a contract carrier for Air Canada and operate our flights on their behalf. The CPA provides commercial flexibility and connecting network traffic to Air Canada, while significantly reducing Jazz’s financial and business risks.
Our fleet consists of Embraer, CRJ, and Dash 8-400 aircraft. Our CRJ900 aircraft are equipped with in-seat personal entertainment systems, enabling you to choose from a wide selection of television shows, movies and satellite radio channels to make your flight experience with Jazz more enjoyable.
