Job Description
Aeromag is looking for an Office Administrator based in our Calgary Airport station. This is temporary one-year full-time position. The Office Administrator will be responsible for coordinating administrative tasks, supporting the Operations Team, managing documentation, and ensuring a smooth communication process across departments within Aeromag. This position will be working closely with the General Manager and Assistant General Manager in contributing to the day-to-day performance of the station.
Main Responsibilities
- Provide administrative support to management and operations teams.
- Direct incoming calls to the appropriate personnel, greet and direct visitors.
- Assist with invoicing, generate purchase orders, process expense claims for employees and holders of company credit cards.
- Manage internal communications to help ensure smooth day-to-day operations
- Maintain the electronic and physical filing systems, ensuring accuracy and accessibility.
- Assist with the full recruitment cycle for seasonal employees including job posting, pre-screen calling, interview set up, employee onboarding/offboarding.
- Coordinate employee’s security clearance and background checks.
- Maintain cleaning and office supply inventories.
- Prepare weekly management meeting minutes.
- Other administrative duties as required.
Required Skills and Certifications
· Previous experience in an office administrator or coordinator role (minimum 2 years)
· High school diploma or equivalent; additional qualifications in office administration or post-secondary education is an asset
· Possess a valid class 5 driver’s license.
· Must be able to obtain a Restricted Area Identity Card (RAIC).
· Proficient in Microsoft Office (Excel, Word, Outlook, and Teams)
· Excellent written and verbal communication skills
· Demonstrates ability to maintain confidentiality
· Personable and professional demeanor, with a collaborative approach to working within a team environment, as well as independently
· Strong written and verbal communication, with attention to detail and formatting.
· Excellent organizational skills and the ability to manage multiple tasks effectively
