Facilities Manager Job Description

Organization: Rocky View Foundation (RVF)

Location: Various

Reports to: Director of Operations

Employment Type: Full-Time at 1.0 FTE - 40 hours per week

Position Summary: The Facilities Manager is responsible for overseeing the Maintenance and Facilities functions within the organization. This includes providing leadership to the Maintenance department and ensuring consistent operational standards across all RVF locations. The role also encompasses procurement, vendor and contract management, regulatory compliance, and comprehensive asset management.

Key Responsibilities:

1. Leadership & Team Management:

  • Lead, mentor, and support Maintenance Managers across multiple sites to ensure consistent operations and standards
  • Oversee facility operations to maintain safe, well-functioning environments for residents and tenants
  • Promote staff development, teamwork, and accountability through training and performance management
  • Conduct regular evaluations and provide ongoing feedback to direct reports
  • Create and monitor schedules: including rotational on-call/ emergency coverage

2. Facilities Management:

  • Develop and manage preventive maintenance schedules, including oversight of BAS and BMS systems
  • Coordinate renovations, capital projects, and upgrades
  • Ensure buildings, grounds, and equipment meet all health, safety, and environmental regulations

3. Procurement & Vendor Management:

  • Oversee procurement of tools, supplies, and services, ensuring quality and cost-effectiveness
  • Negotiate vendor contracts and monitor service performance
  • Maintain strong relationships with contractors and suppliers

4. Financial Management & Budgeting:

  • Support budget planning and track departmental spending.
  • Identify cost-saving opportunities and implement efficient operational practices.
  • Ensure financial targets are met through effective resource and contract management

5. Compliance & Risk Management:

  • Ensure compliance with all applicable regulations and internal policies
  • Conduct facility audits and address safety risks
  • Partner with Health & Safety teams on inspections, audits, and emergency planning
  • Support development of emergency response and disaster recovery plans

6. Strategic Planning & Continuous Improvement:

  • Collaborate with leadership on facility and procurement strategy.
  • Drive process improvements, technology adoption, and performance tracking (KPIs).
  • Lead sustainability efforts to reduce energy use, waste, and environmental impact

Qualifications:

  • Engineering, Facility, HVAC or other relevant professional designations will be considered
  • 5+ years of experience in maintenance, facility/property management or a related field.
  • Budgeting & financial planning
  • Knowledge of health, safety, and environmental regulations
  • Excellent communication and interpersonal skills, with the ability to build strong relationships across diverse teams
  • Strong problem-solving skills and the ability to make critical decisions in a fast-paced environment
  • Proficiency in facility management software and Microsoft Office Suite

Working Conditions:

  • This position requires flexibility in scheduling, including occasional evenings or weekends as needed
  • Travel between lodge facilities will be required
  • Vacation and sick coverage may be required, including performing the duties of direct reports during their absence
