About the role

The Opportunity

The Global Access department at Keyano College is currently seeking a Registration and Recruitment Assistant. Reporting to the Associate Dean, Academic Upgrading & Global Access, this role is responsible for student intake and withdrawal processes including statistics, records, enrolment reporting, and recruitment for the LINC program. The Registration and Recruitment Assistant will ensure excellent customer service to internal and external stakeholders by maintaining the LINC program registration functions, including but not limited to, the College’s internal processes (PowerCampus and Connect) and IRCC processes (iCARE). The LINC Registration and Recruitment Assistant will work closely with both the LINC Chair, Office of the Registrar, and the LINC team.

Language Instruction for Newcomers to Canada (LINC) is an English language training and settlement program funded by Immigration, Refugees and Citizenship Canada (IRCC) that is offered at Keyano College. The LINC program has different registration requirements than other College programming and requires additional registration procedures and reporting required by IRCC.

Note: this is not a remote or hybrid work opportunity, you will be required to work on campus in Fort McMurray, AB.

Duties & Responsibilities

  • Perform data entry into relevant databases, including entry of new intakes, tracking applications, enrollment, attendance, withdraws and drops, and course section changes.
  • Enter, access, retrieve, and maintain student and class information in relevant databases.
  • File, provide, and maintain documentation as required.
  • Provide professional customer service and program delivery to LINC students.
  • Liaise with relevant LINC administration team members, Office of the Registrar, IT, and others to ensure smooth processes between departments.
  • Monitor, track and summarize all student inquiries and identified gaps as needed using the established database and procedures.
  • Create and maintain waitlists for LINC levels in College registration system and government client tracking system.
  • Prepare standardized reports for the LINC Program Chair as requested on program, client, or other critical student data for the Program Chair’s decision-making or to support required accountability reports.
  • Analyze registration data and student evaluations to identify challenges and create reports for decision-making and future program planning.
  • Create and format class schedules, schedule room bookings for classrooms and computer labs.
  • Build and maintain good relationships with members of LINC client sectors in the community.
  • Work with the LINC administrative and delivery teams to prioritize, develop and deliver positive promotional events.
  • Support program promotion and student recruitment as needed.
  • Provide administrative assistance to instructors and LINC administration when needed.

Qualifications

  • Office Administration Diploma or Business Administration Diploma or equivalent combination of qualifications acceptable by the employer.

  • Dedication to excellent customer service.

  • At least one full year experience working in a busy office setting in a post-secondary institution.

  • Proven ability to communicate clearly and respectively with diverse internal and external clients.

  • Proven ability to connect quickly with clients from various cultural, religious, ethnic, educational and socioeconomic backgrounds.

  • Proven ability to work collaboratively in a pro-active manner within a high-performance team environment.

  • Proven ability to track and analyze data.

  • Proven ability to create reports.

  • Candidate must demonstrate excellent organizational skills, including being able to multi-task and prioritize.

  • Highly proficient MS Office skills are required for this position.

  • Knowledge of English as an Additional Language programming and the settlement sector would be an asset.

Compensation and Benefits

  • Compensation is $ 54,950.18 per year as per the CUPE AS5 collective agreement with comprehensive health and benefit package.

  • Employer paid comprehensive health and dental benefits, including a health spending account.

  • Pension plan through LAPP

  • This position qualifies for additional payment of the Northern Living Allowance of $1,040.00 per month (This allowance is reviewed annually and is subject to budget approval).
