About the Position
The Residence Housing and Operations Assistant plays a pivotal role in fostering a welcoming, efficient, and supportive environment for all individuals engaging with the Residence Life Office. As the first point of contact for students, parents, contractors, and campus stakeholders, this position ensures a high standard of customer service across all communication channels—email, phone, and in-person.
The successful candidate will be responsible for handling a wide variety of administrative, operational, and customer-facing duties related to residence operations, housing, and day-to-day support for residents and Residence Life services.
Responsible for providing accurate and timely information in person, by phone and email regarding all aspects of the Residence Life office. Operating as on campus housing for 549 students and for shorter term conferencing during the spring and summer term, the work demands require a high degree of organization, ability to work with frequent interruptions, and offer exemplary customer service.
This position is also responsible for providing administrative support for the Residence Life team.
Position Details
Customer Service & Communication
- Serve as the primary contact for the Residence Office in person, via phone, and through email.
- Deliver timely, accurate, and courteous information on all aspects of Residence operations, including:
- Room changes, move-in/out procedures
- Housing application processes, deadlines, and costs
- Residence policies, inventory management, and key contacts
- Direct inquiries to the appropriate personnel within Residence or other departments.
- Support prospective and current residents, guests, and external visitors with a high level of professionalism.
Check-In/Check-Out and Housing Operations
- Coordinate all check-in/check-out procedures for short-term stays, students, and guests.
- Manage hotel-style operations: registrations, key distribution and return, payment processing.
- Administer room changes and seasonal move-ins/outs.
Administrative Support & Financial Duties

Process data entry into housing management systems (MCR, Ellucian).

Maintain and reconcile petty cash and coin float; prepare daily deposits.

Monitor and report key sign-outs; track and organize maintenance and contractor service requests.

Maintain contractor and maintenance service records.

Manage office supplies.

Generate reports for rent and deposits,
Required Qualifications
-
Exceptional interpersonal and communication skills.

Strong organizational ability and attention to detail in a fast-paced environment.

Proficient in Microsoft Office Suite and data management systems.

Demonstrated customer service experience, ideally in a student services or hospitality setting.

Proven ability to handle sensitive information with discretion.
Preferred Qualifications
-
Experience in student housing, front-desk operations, or post-secondary administrative services.

Familiarity with My College Roomie (MCR) software or other student or property management systems.
Salary
AUPE Class Level 7 Step 1 $24.04 per hour
