SUMMARY:
The Clinic Concierge/Pharmacy Assistant plays a vital dual-role in both technical pharmacy operations and patient engagement at the Pharmacy Care Clinic. This position supports dispensing, prescription processing, and administrative duties while ensuring a seamless, welcoming, and professional experience for patients accessing pharmacy care services. The role also promotes digital tools such as the PC Health App and supports clinic workflow in collaboration with the pharmacy team.

DUTIES & RESPONSIBILITIES:
Customer Service
- Receive, welcome, and check in patients for their pharmacy clinic appointments.
- Create a positive, timely, and courteous experience for all customers and patients.
- Greet and gather prescription and clinical service information according to standards.
- Promote awareness and uptake of pharmacy care services and the PC Health App.
- Set appropriate expectations for wait times and service delivery.
- Guide patients through the clinic space and services.
- Refer all clinical inquiries and counselling needs to the pharmacist.
- Cash out prescriptions and pharmacy service payments where applicable.
- Maintain patient confidentiality and adhere to all privacy regulations.
Administration & Coordination
- Manage appointments using internal scheduling systems (e.g., Accuro EMR, Healthwatch, MedMe).
- Book follow-ups, process out-of-pocket payments, and perform patient check-out procedures.
- File documentation and maintain accurate patient records according to standards.
- Support prescription intake and data entry, including processing refill requests.
- Submit orders (excluding narcotics and controlled substances) and manage incoming faxes.
- Answer calls and coordinate callbacks, referring to pharmacists as needed.
- Complete start-of-day and end-of-day checklists for the Pharmacy Care Clinic.
Prescription Workflow & Dispensing Support
- Assist in the preparation, packaging, and labelling of prescriptions to company and regulatory standards.
- Select and count medications, ensuring accuracy and proper documentation.
- Adjudicate third-party billing and manage manual third-party accounts.
- Maintain appropriate data within pharmacy systems and support professional service delivery.
SKILLS & QUALIFICATIONS:
- High School Diploma required; Diploma from a Pharmacy Assistant program preferred.
- Experience working in a retail pharmacy or medical clinic, preferably in a patient-facing role.
- Strong customer service skills and ability to maintain professionalism under pressure.
- Knowledge of pharmacy workflows, prescription preparation, and third-party billing.
- Strong verbal and written communication skills, in-person and over the phone.
- Proven attention to detail, organizational ability, and adherence to process.
- Comfortable with technology including Microsoft Outlook and pharmacy systems (e.g., Accuro, MedMe, Healthwatch).
- Ability to multitask, prioritize, and work collaboratively in a fast-paced environment.
- Commitment to upholding privacy standards and professional ethics.
