About the role

Job Summary:

The Admin III – Health Services provides high-level administrative and coordination support to the Medical Director and Associate Medical Director. The Medical Director portfolio plays a strategic leadership role in improving health care quality, access, and equity for the communities served by SLFNHA. This position requires professionalism, excellent communication and organizational skills, and a strong ability to prioritize tasks in a dynamic multi-jurisdictional healthcare environment.

The Admin III – Health Services directly accountable to the Medical Director.

Under the Sioux Lookout First Nations Health Authority (SLFNHA) Physician Services management agreement, the ADMN II - Physician Scheduler's role works within the vision, mission and values of the Sioux Lookout Regional Physicians’ Services Inc. (SLRPSI) supporting the delivery of regional physician services to the Sioux Lookout Area and 31 First Nation communities, Sioux Lookout region).

2025 Salary Range: $56,576 - $75,992

Position Type: Full-time

Qualifications:

  • Persons of First Nations ancestry will be given preference (OHRC, Part II, Special Employment).
  • Ability to speak a First Nations Dialect in the Sioux Lookout Zone is a strong asset
  • Post-secondary diploma in Office Administration or related field and/or an equivalent combination of education and experience.
  • Minimum three (3) years of experience in administrative roles, preferably in health or public sector settings.
  • Experience working with Indigenous organizations or communities is strongly preferred.
  • Understanding of First Nations health governance or health system issues.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, Sharepoint).
  • Strong organizational and time management skills; ability to manage multiple priorities and deadlines.
  • Demonstrates professionalism, discretion, and accountability.
  • Self-motivated, with the ability to work independently and collaboratively.
  • Knowledge and sensitivity to the history, culture, and health priorities of First Nations in the Sioux Lookout region.
  • Ability to perform the requirements of the role on a regular basis.

Roles and Responsibilities:

  • Provide direct administrative assistance to the Medical Director and Associate Medical Director, including scheduling, document preparation, and communication support.
  • Manage calendars, coordinate internal and external meetings, and ensure timely follow-up on meetings and tasks.
  • Prepare agendas, take minutes, and distribute materials for internal and external meetings, including health system committees and working groups.
  • Support coordination of special projects and initiatives led by the Medical Directors.
  • Draft, proofread, and format internal and external correspondence, reports, briefing notes, and presentations.
  • Coordinate travel arrangements and process related expense claims in compliance with SLFNHA policies.
  • Maintain confidentiality and professionalism in all interactions and documentation; Ensure that records, documents, correspondence and confidential files are maintained in an organized and secure manner (both electronic and paper).
  • Receive and respond to internal and external inquiries; redirect requests as appropriate.
  • Liaise with other administrative staff and programs to support coordination across SLFNHA, First Nations communities, and external partners.
  • Maintain accountability by working within program guidelines, submitting regular updates to the Medical Directors, and supporting efficient administrative workflows.
  • Other related duties as directed by the Medical Director or Associate Medical Director.
